Requirements
  • A high school diploma or equivalent is required.
  • At least three years of relevant experience, including patient telephone or face-to-face contact or customer service in a high-volume medical office or hospital setting, is required.
  • Skill in data entry with minimal errors is required.
  • Ability to communicate effectively in oral and written form is required.
  • Ability to work evenings, nights, and weekends as necessary is required.
  • Skill in collecting, organizing, and analyzing data is required.
  • Ability to work independently and in a collaborative environment is required.
  • Knowledge of medical terminology is required.
  • Ability to handle multiple tasks simultaneously is required.

Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones by triaging incoming calls, responding to questions, directing calls, and documenting messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Work cooperatively with employees to solve problems and support the smooth and efficient flow of the practice.
  • Provide coverage for coworkers' responsibilities when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information and adhere to University and unit-level policies and procedures.
  • Triage all patient-related calls for assigned physicians, document pertinent information and provider instructions, and record consequent actions.
  • Process and assist with patient-related requests and UChart In-basket messages for assigned pools and providers.
  • Coordinate physicians' academic and patient-related schedules.
  • Monitor clinical schedules to ensure the accuracy of appointment numbers and types.
  • Review no-shows and canceled appointments according to department policy.
  • Follow up on laboratory, pathology, mammogram, ultrasound, MRI, and other ancillary testing results as directed by providers.
  • Follow up on referrals to specialists and procedures requested by providers.
  • Submit authorization and referral requests for follow-up appointments and procedures as needed.
