Job Description
We are seeking an Executive Assistant (EA) for the Chief of Sales and Marketing - Designate, of Western Digital.
Reporting to the Chief of Sales and Marketing, you will partner closely with the Chief of Sales and Marketing and site team to execute his office. In this role, you will be trusted to work with the highest level of confidentiality, understanding the needs of an executive while carefully balancing relationship-building across the business. You will need to be organized and innovative, while thriving in a fast-paced environment. A can-do attitude and willingness to roll up your sleeves to execute effectively and efficiently are essential.
In addition to supporting the Chief of Sales and Marketing, you will also serve as the Irvine Site administrator, acting as the primary point of contact for the Irvine Sales and Marketing office. You will be responsible for assisting employees with requests for facilities, IT, and overall knowledge of how the Irvine office operates. This role requires frequent interaction with the site’s employees and the ability to be proactive in ensuring smooth day-to-day operations. You will play an essential role in helping create a positive and happy workplace, leading culture initiatives that foster a collaborative and engaging environment for all employees.
Additionally, you will liaise with the other admins of the Executive Leadership Team (ELT) to support the leadership and execution of a large company. The ability to work alone or as part of a team is vital.
You will need the ability to ensure the Chief of Sales and Marketing office is easy to work with and approachable, while balancing competing priorities and ensuring the utmost level of professionalism. Written and verbal communication skills, taking initiative, and attention to detail are imperatives-along with having a sense of humor!
Responsibilities:
- Calendar Management: Ensure the Chief of Sales and Marketing’s time is used efficiently to support the goals of his office. Proactively solicit agendas and manage attendee lists.
- Travel: Manage the Chief of Sales and Marketing’s travel needs, including optimum travel arrangements and processing passports, visas, etc.
- Briefing Documents: Manage briefing documents for key internal/external meetings and create briefing packets for business trips.
- Irvine Site Admin Responsibilities: Serve as the primary point of contact for the Irvine office, addressing requests related to facilities, IT, and general office operations. Act as a liaison between employees and various support departments.
- Irvine Site Meeting Planning and Organization: Assist the site leadership committee office in planning and organizing internal and external meetings, Irvine site events, team offsites, and global organization-wide meetings.
- Correspondence/Approvals: Act as a proxy for communications and approvals, where applicable.
- General Inquiries: Handle inquiries related to the Irvine site leadership and refer routine matters to appropriate parties.
- Tool Management: Manage expense reports, SOWs, POs, and become proficient with internal tools such as M365, Co-Pilot, etc.
- Projects: Partner with the Chief of Staff and Communications lead on special projects, as needed.
- Community: Build necessary communities to further drive your own development and support your peers across the business.
Qualifications
- Minimum of 10 years of experience supporting an Executive Vice President / Senior Vice President (equivalent) in a large public company
- Advanced knowledge of desktop computer applications such as Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint
- Highly organized, resourceful, and detail-oriented
- Ability to manage the time of the Chief of Sales and Marketing, while ensuring his office is approachable and easy to work with
- Ability to prioritize and manage multiple tasks simultaneously
- Ability to work unsupervised
- Utmost integrity and professionalism
- Excellent written and oral communication skills

Constant presence at Western Digital’s Irvine office is required, and the role may include infrequent domestic travel.
