Requirements
  • A high school diploma or GED with concentration of courses in Secretarial Science, or an Associate degree in Healthcare or Business Administration, is required.
  • Knowledge of Microsoft Outlook, Word, Excel, databases, and PowerPoint is required.
  • Must be flexible and able to work in a stressful environment.
  • At least five years of administrative or clinic management experience is required, along with competence in general operational and personnel practices, accounting and budgeting principles, and coordination of clinic administrative functions.
Responsibilities
  • Assist the Office Manager or Operations Director with daily business operations, including accounts payable and receivable, budget analysis, staff payroll, personnel interactions, billing, and email and phone communications.
  • Act as a backup to the Office Manager.
  • Support administrative decisions and changes within the department.
  • Ensure adequate staffing is present at all times to provide services promptly and efficiently.
  • Assist with the oversight of staff training, direction, and coaching.
  • Ensure calls are promptly answered and screened, messages are accurately recorded, and communications are distributed to appropriate personnel.
  • Monitor and report on activities related to assigned organizational goals.
  • Bring policy and procedure updates to the attention of the Office Manager or Operations Director.
  • Assist the Office Manager or Operations Director with items supporting professional staff management and smooth office operations.
Desired Qualifications
  • A Bachelor's degree is preferred.
