  • Bachelor's degree in a healthcare, business, or related field, or four years of directly related work experience in addition to the experience requirements.
  • Two years of healthcare experience, including one year in a lead or supervisory role, or a master's degree in a healthcare, business, or related field and successful completion of the FMCOH Residency Program.
  • Effective working knowledge of healthcare financial management, operations, and strategy.
  • Ability to maintain reasonably regular and punctual attendance consistent with applicable policies and laws.
  • Ability to maintain compliance with organizational policies and procedures.
  • Completion of all organizational mandatory education.
Responsibilities
  • Manage operations for multiple departments across numerous outpatient clinical office locations.
  • Ensure quality of care, patient-first service, patient access, fiscal responsibility, resource allocation, labor management, process improvement, and quality assurance.
  • Create and oversee annual budgets of up to $35 million and manage three to fifteen office locations with up to 100 full-time-equivalent staff.
  • Develop short- and long-term strategic goals for patient care, process efficiency, quality assurance, and regulatory compliance with physician and administrative leadership.
  • Collaborate with leadership on interdepartmental and intradepartmental services and projects.
  • Meet productivity targets through resource adjustment and workload monitoring.
  • Oversee patient-care flow and redirect or allocate resources as needed.
  • Determine space, equipment, supplies, and support systems needed for departments and clinical sites.
  • Investigate patient and visitor concerns and implement appropriate actions, including policy interpretation and administration.
  • Ensure safety, health, and regulatory standards are met within assigned departments.
  • Implement work routines and process changes to improve efficiency, effectiveness, and quality.
  • Address software, hardware, and telephone issues and promote IT solutions such as Dragon and AI Freed.
  • Participate in performance-improvement initiatives directed by administration or physician leadership.
  • Support team members in completing their assigned duties and responsibilities.
  • Develop effective teams by motivating staff and building on individual strengths.
  • Create an environment that encourages innovation and creativity.
  • Ensure staff and resources are available to meet departmental needs.
  • Communicate information to administration and team members and facilitate information flow among providers, management, and staff.
  • Attend and prepare agendas for staff meetings, operations meetings, service-line division meetings, subcommittees, and value-based performance meetings.
  • Handle and resolve escalated patient complaints and correspondence with hospitals, nursing homes, surgery centers, and answering services.
  • Complete annual evaluations for supervisors and managers and assist supervisors with staff evaluations.
  • Coach, direct, and counsel supervisors and staff.
  • Review employee issues with Human Resources before reprimands or staffing changes.
  • Monitor payroll for supervisors and staff.
  • Coordinate staffing needs, schedules, paid-time-off requests, and staffing shortages across assigned departments.
  • Interview candidates, extend approved offers, and complete new-hire and termination processes.
  • Monitor budget performance, address negative variances, and collaborate with directors on practice budgets and financial reports.
  • Monitor provider receipts and work relative value unit reports against financial goals.
  • Approve invoices and manage direct expenses for assigned departments.
  • Address facility issues, create maintenance work tickets, and ensure assigned offices are clean, maintained, and safe.
  • Identify and eliminate safety hazards and report incidents, accidents, and injuries.
  • Set up new provider offices and locations and oversee practice mergers.
  • Provide on-site support for electronic health record go-lives and continuing support.
  • Coordinate provider photos and profile information with Marketing.
  • Arrange division meetings with Administration.
  • Represent the organization through community relations and marketing activities.
  • Lead and support committees for service-line initiatives and operations.
  • Participate in planning and designing information systems and standard service-line reports.
  • Recommend and oversee administrative policies and operating procedures.
  • Ensure adherence to local, state, and federal regulations.
