Requirements
  • A High School Diploma or General Equivalency Diploma is required.
  • A minimum of 6 years of experience in administrative support roles is required.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and accuracy in work product.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and as part of a team.
  • Familiarity with office management systems and procedures.
  • Typing proficiency of at least 45 words per minute.
  • U.S. citizenship is required.
  • Ability to obtain and maintain a government security clearance.
  • Ability to perform basic mathematical calculations.
  • Ability to read, understand, speak, and write English fluently.
  • Ability to sit, stand, walk, lift, squat, bend, twist, and reach above the shoulders during the work shift.
  • Ability to lift up to 50 pounds from floor to waist.
  • Ability to lift up to 20 pounds.
  • Ability to carry up to 40 pounds a reasonable distance.
  • Ability to push or pull with 30 pounds of force.
Responsibilities
  • Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.
  • File and retrieve corporate documents, records, and reports.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Schedule and coordinate meetings, appointments, and travel arrangements for supervisors and managers.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Record, transcribe, and distribute minutes of meetings.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
  • Attend meetings to record minutes.
  • Manage and maintain executives' schedules.
  • Make travel arrangements for staff members.
  • Conduct general office duties such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Provide information to callers about the organization's activities, products, and personnel.
  • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
