Requirements
  • Minimum 1 year of experience in office management
  • Strong user of Google Workspace as well as Word, Excel and PowerPoint
  • Ability to work and strive to get things done in an environment with many competing demands
  • Strong communication skills - verbal and written involving communications with internal and external contacts

Responsibilities
  • Oversee facility operations at our 10,000 square foot South Congress office, point person for office requests, maintenance, parking, security, mailing, shipping, supplies and equipment
  • Manage office G&A budget, ensure accurate and timely reporting
  • Organize office operations and procedures, outline and document SOPs
  • Manage office lunch ordering program and office hoteling program
  • Maintain an orderly, safe, and healthy work environment by establishing, following and enforcing standards and procedures, complying with legal regulations
  • Responsible for developing standards for office management and promoting activities that enhance operational procedures
  • Assist employees in a hybrid remote/in-person experience
  • Accountable for safety and security of the Austin TX HQ Office on a day-to-day basis, including a working knowledge of + compliance with ADA requirements
  • Negotiate and manage vendor and building management relationships to keep the office running smoothly and within budget
  • Facilitate a positive employee experience by responding to support requests in a timely manner; serve as the first line of contact for any after-hours building emergencies
  • Manage on-site event needs (room set-up, attain vendor COIs, etc.)
  • Assist in the onboarding process for new hires (building access, parking, etc.)
  • Own regular mail collection, distribution, and support
  • Provide general support to visitors and internal colleagues
  • Work with internal stakeholders to organize events and meetings, video conferences and conference calls
