Requirements
  • A high school diploma or equivalent is required.
  • A valid and current Alaska driver's license is required.
  • One to two years of general office, hospitality, or other relevant job experience is required.
  • Knowledge of the Privacy Act of 1974 is required to safeguard patients' confidential medical and personal information.
  • Knowledge of customer service concepts and practices is required.
  • Proficiency operating a computer with a variety of software applications is required.
  • Problem-solving and communicating issues to the supervisor are required.
  • Oral and written interpersonal communication skills are required.
  • The ability to work independently with minimal supervision is required.
  • The ability to respond quickly in urgent situations with attention to detail is required.
  • The ability to maintain record-keeping system procedures accurately is required.
  • Proficiency in Microsoft Office products, including Word, Excel, and PowerPoint, is required.
Responsibilities
  • Perform general office duties, including answering telephones, copying, faxing, and scanning information for various departments.
  • Communicate coverage gaps to the supervisor.
  • Support guests and escorts through accessibility, empathetic listening, and practical assistance.
  • Assist patients with entering and exiting vehicles, baggage, and miscellaneous tasks using sound judgment.
  • Communicate relevant issues to incoming staff during shift changes.
  • Notify the supervisor of issues that cannot be resolved.
  • Submit time-off requests to the supervisor in a timely manner.
  • Approve timecards biweekly and notify the supervisor of issues.
  • Restock office supplies and email the supervisor a list of supplies to order.
  • Use email to communicate.
  • Create shuttle pickup appointments and maintain the shuttle calendar.
  • Update the shuttle schedule throughout the shift as needed.
  • Refuel vehicles when the fuel level reaches or falls below one-quarter of a tank.
  • Transport guests and escorts to and from the ferry terminal, Alaska Airlines, and hotels for appointments at SEARHC facilities when requested.
  • Maintain monthly vehicle maintenance logs and notify the supervisor when they are completed.
  • Maintain the patient-housing reservation key by recording cancellations, dirty or clean rooms, and guest check-ins.
  • Monitor room availability and determine room assignments.
  • Reserve rooms at local hotels when patient housing is full.
  • Inspect rooms for readiness before guests arrive or coordinate with housekeeping regarding room readiness.
  • Complete guest and escort registration, including forms, and explain patient-housing amenities, additional services, rules, and policies.
  • Contact security and request assistance with patient-housing evictions.
  • Monitor housing-request email and complete requests promptly.
  • Clean common areas of the patient-housing facility weekly or as needed.
  • Restock kitchen supplies and provide the supervisor with a list of supplies to order.
  • Perform other duties as required.
