Requirements
  • Post-secondary three-year diploma or degree in a related discipline such as Business, Finance, or Accounting.
  • A minimum of seven years of related, progressive work experience is required at the point of hire.
  • An equivalent combination of education and experience may be considered.
  • Solid skills and experience in budget planning, forecasting, proposal writing, and resource allocation.

Responsibilities
  • Develop and monitor, with the Deans, Chairs, and Managers, the Faculty's capital and operating budgets to ensure fiscal responsibility.
  • Manage and monitor financial activity, including decision packages, budget forecasts, variance analysis, problem identification, and recommendations.
  • Manage audited project budgets with external revenue sources and provide financial analysis and recommendations to the Dean, Chairs, and Managers on financial matters, including costing models.
  • Ensure the efficient and effective use of fiscal and physical resources within the Faculty by coordinating and consolidating budget requests and maintaining an inventory of fixed assets.
  • Prepare reports, spreadsheets, databases, and informational documents to assist in program development and reviews, proposal submissions, fee negotiation, donations, and resource planning.
  • Participate in facilities planning.
  • Analyze and make recommendations regarding operational equipment and renovations for effective coordination and deployment of physical facilities and equipment required to support the Faculty.
  • Improve operational systems, processes, and policies to support the Faculty and College mission, vision, and values.
  • Coordinate improvements between operational functions to increase the effectiveness and efficiency of Faculty operations.
  • Provide advice to Faculty management on accounting, tax, and insurance questions.
  • Link the Faculty's Financial Systems, Human Resources Systems, and Student Information Systems and ensure that these systems are integrated within the Faculty.
  • Monitor administrative procedures to ensure efficient Faculty operation.
  • Collaborate with other Operations Managers to develop cross-College consistency and efficiency of common administrative processes.
  • Ensure compliance with relevant legislation, collective agreements, terms and conditions of employment, and policies and procedures.
  • Schedule, conduct, and report on Health and Safety zone inspections for the Faculty's dedicated College spaces.
  • Ensure completion of funder interim and final reporting for the Faculty.
  • Prepare data submissions for internal and external reporting requests.
  • Provide leadership, direction, and guidance to support staff in the Faculty.
  • Build professional capacity of staff and maintain high staff performance by recruiting, selecting, developing, mentoring/coaching, setting workflows and goals, and conducting ongoing performance management and evaluation.
  • Ensure operational assignments of teams are carried out consistently with College policies and procedures.
  • Analyze and make recommendations regarding labour relations issues in the Faculty.
  • Analyze and make recommendations for the most effective coordination and deployment of human resources required to support all Faculty areas.
  • Set service standards and ensure quality customer service is provided in the Faculty.
