Requirements
  • High School Diploma or equivalent
  • High proficiency with all Microsoft Office Suite products
  • 5+ years of related experience
  • Demonstrate interest in promoting innovation in administrative management and in project coordination.
  • Technologically savvy
  • Ability to work evenings (6:00 pm)

Responsibilities
  • Principal coordinator for assigned members of Executive Team calendar and schedules. May be called upon to provides coverage for other President’s Office staff when needed
  • Coordinate with VP of Special Projects and the Executive Assistant team to align on President Office priorities and execute accordingly
  • Participate in weekly calendar review
  • Handle telephone and email inquiries and respond in a timely and appropriate manner
  • Manage principals’ contacts
  • Keep principals on time and apprised of recent changes to schedule
  • Coordinate briefing and presentation materials
  • Prepare and process expense reports for principals in a timely manner
  • Arrange all travel logistics for principals and provide travel support for direct reports as needed
  • Responsible for obtaining and returning documents for principals’ signatures in timely fashion
  • Collect, distribute, and direct principals’ mail daily
  • Manage principals’ and direct reports timekeeping as assigned
  • Special projects and project coordination as assigned
  • Work with Executive Assistant team, MIS, Records Management and Admin Services to advance effective front office operations
  • Provides logistical support for President’s Office meetings including, conference room booking, space set-up and breakdown, audio visual needs, and catering upon request.
  • Coordinates with Executive Assistant team to order office supplies
  • Coordinate and plan President’s Office related events and projects as directed (e.g. staff offsites, department leadership meetings, commemorative events etc.)
  • Maintain familiarity with key NYCEDC projects and initiatives to promote initiatives towards increased interdepartmental communication as outlined by the President’s Office
