Requirements
  • A high school diploma or equivalent is required.
  • Two years of additional training or related experience, or one year of secretarial training as a substitute for experience, is required.
  • Ability to type at least 35 words per minute is required.
  • Understanding of Microsoft Office products, Excel, and other systems is required.
  • Ability to lift, push, or pull 10–15 pounds is required.
  • Ability to sit for long periods of time is required.
Responsibilities
  • Perform a wide range of administrative duties and coordinate complex office procedures in support of departments and leadership.
  • Coordinate the preparation of department correspondence to support ongoing communications and efficient departmental operations.
  • Reconcile the monthly budget with monthly analysis reports and responsibility statements; update cost center budget tallies; send invoices to Accounts Payable for payment; complete purchase orders, requisitions, expense forms, and credit card statements; secure capital budget quotes; and send relevant documents to Accounts Payable or Accounting.
  • Update policies and procedures annually, along with departmental information for each area.
  • Provide employees with support for forms and information updates.
  • Screen and refer incoming phone calls and department visitors.
  • Prepare, maintain, and process office supply inventory.
  • Maintain conference room schedules; schedule staff and committee meetings and conference calls; coordinate Webex needs; notify parties of meeting times and locations; prepare agendas and minutes as needed; prepare monthly calendars; maintain appointment calendars; document accurate times; and contact appropriate individuals.
  • Function as the department's payroll representative and coordinate payroll and leave reports for department staff.
  • Schedule travel arrangements.
