Requirements
  • A Bachelor's Degree or three or more years of closely related experience is required.
  • Demonstrated organizational and interpersonal skills, including written and verbal communication with faculty, students, researchers, and staff at all levels are required.
  • A service-oriented and proactive approach with strong attention to detail is required.
  • The ability to multitask, prioritize, and work independently in a fast-paced environment is required.
  • The ability to exercise independent judgment and make decisions based on established policies and procedures is required.
  • The ability to work independently and as part of a team is required.
  • Proficiency in Microsoft applications, including Outlook, Word, and Excel, is required.
Responsibilities
  • Provide general administrative support for assigned faculty and their research groups, supporting approximately 10 faculty members at any given time.
  • Make faculty and guest travel arrangements.
  • Manage calendars, appointment requests, and meeting space reservations.
  • Prepare and ship correspondence and laboratory materials for research groups.
  • Assist with preparation and maintenance of Canvas sites, including uploading course-related materials, sending emails to students, and ordering books.
  • Prepare and send correspondence on behalf of faculty.
  • Assist faculty with curriculum vitae and profile updates, submit papers for conferences, and work with outside companies.
  • Proofread and edit documents.
  • Plan and execute several events each year, varying in complexity.
  • Plan departmental seminar series, holiday parties, academic year-end events, alumni socials, faculty meetings, lunches, retreats, conferences, and symposiums.
  • Reserve and set up spaces, arrange food, advertise events, manage communications, track RSVPs, arrange hotel blocks, schedule meetings, manage vendor relationships, and manage event budgets.
  • Ensure compliance with University policies related to contracts, financial matters, and events and guests on campus.
  • Support undergraduate and graduate program administrators with student events as needed.
  • Purchase and receive laboratory and office supplies.
  • Maintain and reconcile monthly travel and expense credit cards using Concur.
  • Process expense reimbursement requests.
  • Manage and reconcile budgets and expenses for assigned events.
  • Staff the department reception desk, greet visitors, and provide directions and basic information.
  • Update faculty, people, and event pages on the website using Drupal.
  • Provide backup assistance to other departmental support staff.
  • Perform departmental administrative duties, including mail distribution and communications tasks.
  • Complete special projects assigned by the Senior Manager of Finance and Administration or Administrative Office Coordinator.
Desired Qualifications
  • Experience working with faculty in a higher education environment.
  • Experience planning large events with 100 or more attendees.
  • Experience with PeopleSoft, Concur, and Canvas software applications.
