Requirements
  • Proven administrative support skills, including complex calendaring, travel coordination, and financial transactions. Excellent computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint) and the ability to adapt to new software systems.
  • Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks with competing deadlines. Demonstrated ability to work independently and as part of a team.
  • Excellent verbal and written communication skills, with a proven ability to interact professionally with diverse stakeholders, including faculty, staff, and external contacts.
  • Highly developed customer service skills, with the ability to represent the department and university professionally. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to problem-solve, take initiative, and follow through on tasks, even in the face of conflicting demands. Excellent attendance and punctuality records.
  • Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
Responsibilities
  • The role oversees and coordinates administrative, program, and office activities and establishes, selects, implements, and coordinates office procedures and systems.
  • The role serves as the principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities.
  • The role oversees, instructs, and coordinates activities of support staff.
  • The role oversees the preparation of materials for grants, contracts, and budgets, monitors expenditures, and reconciles financial statements.
  • The role provides editorial support for a journal or publication, proofreads and edits material for grammatical and factual accuracy, tracks copy through editing and production stages, and communicates with authors, printers, and others involved in published work.
  • The role determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences; assembles necessary items; determines data sources; compiles, synthesizes, and manipulates data; summarizes findings; and writes reports or portions of reports.
  • The role greets visitors, answers and screens telephone calls, assesses the nature of business, responds to information requests, provides assistance, and screens and responds to mail.
  • The role formats, keyboards, proofreads, and edits correspondence, reports, manuscripts, grants, and other materials; assembles attachments and corresponding material; reviews outgoing material for completeness, dates, and signatures; and composes substantive correspondence and written material.
  • The role coordinates travel arrangements, schedules and coordinates meetings and appointments, orders and maintains inventory of supplies, takes minutes or dictation, and performs functions incidental to office activities.
  • The role serves as the principal contact and source of information about departments, degrees, activities, deadlines, policies, and procedures.
  • The role provides logistical and clerical support to department chairs, faculty, students, visitors, and guests; creates and distributes departmental schedules, documents, and reports; and processes and supports faculty appointments.
  • The role oversees and monitors department budgets, participates in budget preparation and quarterly monitoring, processes financial paperwork, coordinates faculty use of student work-study hours, and authorizes work-study timecards.
  • The role provides organizational and logistical support for the departmental admissions process, serves as liaison to the Registrar and Admissions Office, and trains students assigned to support department-specific admissions activities.
  • The role organizes, coordinates, and implements department-specific events.
  • The role oversees and maintains department databases and mailing lists.
  • The role oversees and maintains department collections and bequests.
Desired Qualifications
  • Prior experience in a research or academic environment, including coordinating travel, meetings, and conferences.
  • Bachelor's degree in a related field, such as Business Administration or Finance, or equivalent work experience.
  • Familiarity with university policies and procedures, particularly in managing restricted funds such as endowments, gifts, and sponsored awards.
  • Experience working with databases, file-sharing software, and multiple computer platforms.
  • Knowledge of Workday or similar financial management systems.
