Requirements
- Minimum 1-2 years of Administrative assistant experience in a fast-paced and/or start-up environment supporting a high level executive
- Bachelor's degree preferred but not required
- Ability to take initiative, act independently and able to work interactively and proactively with executives at all levels in the organization
- Flexible with hours, ideally in PST but open to EST - Correspondence outside of normal business hours may be necessary dependent on the executives travel schedule
- Able to handle sensitive and confidential information with discretion
- Strong organizational skills, able to track multiple projects
- High level of accuracy, able to detect inconsistencies and errors
- Superior interpersonal skills, approachable and flexible
- Excellent verbal and written communication skills
- Computer skills - Proficient in Google Suite generally tech-savvy / comfortable with software applications and programs such as Slack, Figma and Notion
Responsibilities
- Owns and manages CEO calendar, including organization, coordination, and scheduling of high-level meetings with the ability to move and adjust meetings with little to no direction to optimize the CEO's schedule
- Manages, organize and coordinate complex multi-segment domestic and international travel
- Handles confidential, highly sensitive, urgent materials and information in a dynamic, fast-paced work environment
- Polished communication skills while working closely and effectively with Executive(s) to keep them well informed of upcoming commitments and responsibilities, preparing and following up appropriately, ensuring executives are prepared with any necessary materials for meetings
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the Executive and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Oversee and maintain all executive expense reports
- Provide general administrative support to each team you support, acting as liaison to executive's direct reports and their staff
- Coordinate and follow-up on special projects as assigned
- Some personal assistance required
Desired Qualifications
- Previous startup and/or healthcare experience helpful; passion about the industry is a plus
