Requirements
  • An undergraduate degree in a relevant discipline.
  • Completion of at least 7 of the 14 Chartered Professional Accountant academic prerequisites.
  • At least two years of related experience, or an equivalent combination of education and experience.

Responsibilities
  • Oversee the financial administration of a portfolio of research grants, including financial reporting, invoicing, funding collection, training, and adherence to agency, sponsor, and University of British Columbia policies and guidelines.
  • Manage staff, including evaluating employee performance.
  • Provide advice to researchers, departments, faculties, and business units on agency compliance, financial and budget matters, funding availability, expense eligibility, and University of British Columbia policies and guidelines.
  • Provide variance analyses of revenues, expenditures, and other key financial indicators, identifying concerns and efficiencies.
  • Assess financial risk in research accounts and contracts and recommend risk-mitigation strategies.
  • Meet with principal investigators to review grant portfolios and develop customized financial reports, forecasts, and projections for management and resource-allocation decisions.
  • Support and review budget development for grant proposals.
  • Monitor the financial progress of research and contract accounts to ensure funds are appropriately expended during contractual terms.
  • Coordinate and monitor financial activities between project partners and steward processes to ensure commitments and deliverables are met.
  • Assess, evaluate, and recommend accounting internal controls, policies, and procedures to ensure compliance with University, granting-agency, and accounting policies.
  • Conduct monthly spot audits of transactions, identify internal-control weaknesses, and recommend and support corrective actions.
  • Oversee year-end reconciliation of research and contract project grants.
  • Monitor over-expenditure notifications and cash-deficit reviews, recommend corrective action, and transfer over-expended grant balances to faculty finance accounts in accordance with University policy.
  • Provide guidance on the impact of goods and services tax, provincial sales tax, harmonized sales tax, benefit costs, and indirect research costs on budgets and funding.
  • Liaise with the Office of Research Services and University Industry Liaison Office regarding information entered into Research Information Systems and integrated with Workday to ensure data integrity.
  • Act as the first escalation point for research-finance issues within the assigned portfolio.
  • Prepare and review interim and final budget reports, resolve budget anomalies with researchers, and implement best practices for handling funds.
  • Communicate with non-research-related government agencies as needed.
  • Manage British Columbia General Employees' Union staff when assigned, including hiring, development, evaluation, discipline, and termination.
  • Lead the University of British Columbia Okanagan Research Finance Community of Practice, including training, troubleshooting, information sharing, and escalation of system or process concerns.
  • Provide advice, support, and assistance to research-active faculty and faculty staff regarding internal controls and grant management.
  • Communicate research-finance policies and procedures and ensure financial controls are in place and policies are followed.
  • Develop and maintain a research-finance procedural and operational manual to support onboarding of new faculty and administrative staff.
  • Assess needs and formulate recommendations on faculty and departmental research-support practices and procedures.
  • Collaborate with Research Finance team members to share knowledge, best practices, and efficiency opportunities.
  • Participate in continuous-improvement initiatives and work with appropriate groups to design, develop, and roll out system and procedural changes.
  • Prepare and present research-finance training materials to faculty, staff, and students.
  • Engage faculty and administrative staff through awareness and training opportunities on research-finance processes and procedures and enable operation within finance systems.
  • Identify knowledge gaps in Workday, sponsor and agency guidelines, and finance processes, and prepare and present training materials to address them.
  • Provide guidance on best practices for managing research grants.
  • Perform other duties related to the position.
Desired Qualifications
  • Post-secondary education in financial management, such as Business Administration.
  • Experience with Workday or equivalent experience in another large enterprise resource management system.
  • Analytical experience and understanding of complex financial reports.
  • Experience in research accounting in an educational institution.
  • Extensive experience with Microsoft Office software, including Outlook, Excel, and Word, with emphasis on advanced Excel skills.
  • Strong understanding of accounting and financial internal controls.
  • Proven problem-identification, analytical, and problem-solving skills.
  • Effective supervisory, organizational, multitasking, and time-management skills.
  • Demonstrated oral and written communication skills.
  • Ability to work in a deadline-driven environment.
  • Ability to work in a team environment and remain highly self-motivated.
  • Comfort presenting to groups and one-on-one.
