We are seeking a Program Assistant for Family Pathways to join our Family Pathways Program. As a Program Assistant for Family Pathways, you will Shine Hope as you provide support to the Family Pathways Director in managing and implementing all duties associated with the Family Pathways program, including, but not limited to, setting up and maintaining client records in Extended Reach, completing reports, and maintaining financial records and files. You will also serve as front of office for Pathways Staff by answering phones, responding to requests for information and greeting visitors and clients. What you'll do:
- Provide administrative support to the Family Pathways Director in all duties associated with the daily operation of program: maintain documentation; research and analyze data to produce monthly reports; perform bookkeeping tasks; transcribe meeting notes; and serve as receptionist to answer the Family Pathways program phone using a multi-line phone system and initiate follow-up as appropriate. Take and relay messages with exceptional accuracy. Answer general questions about program services as required; direct calls to appropriate personnel.
- Coordinate communication with internal and external constituents including telephone calls, faxes, electronic mail and written correspondence. Maintain ongoing professional, positive and appropriate communication with internal and external constituents through a variety of methods.
- Serve as primary point of contact for program participants, staff, and external customers in absence of Program Director, or as directed.
- Timely and accurately enter data for program participants into the Extended Reach system.
- Accurately maintain census records and statistical program information in accordance with established guidelines.
- Timely and accurately complete check requests for client assistance and other needs as requested by Family Pathways Director.
- Participate as a member of the Family Pathways team to meet the physical, emotional, social and spiritual needs of program participants.
- Assist with crisis intervention as required.
- Assist with monitoring the on-going physical condition of the buildings, furnishings, and grounds. Identify problem areas; resolve potential safety hazards and maintenance concerns. Immediately report situations that have a possibility of causing accidents or injuries to residents or others. Maintain assigned work area in a clean and orderly manner. Report needed repairs to immediate supervisor.
What you’ll bring:
- High School Diploma (or G.E.D.) required.
- Associates Degree preferred.
- Minimum 3 years prior related experience performing clerical or administrative functions preferred.
- Requires ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable; must provide proof of liability insurance and must be eligible to be insured under Buckner’s insurance policy. Must be age 21 or older to drive on behalf of Buckner.
- Requires ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people.
- Requires ability to walk, stand and sit, sometimes for prolonged periods of time.
