Executive Search | Senior Operations Coordinator
- Job Overview: As an Executive Search Senior Operations Coordinator, you will play a critical role in ensuring the smooth execution of executive recruitment processes in partnership. You will work closely with our Executive Search & Strategic Sourcing Leadership team to support various talent acquisition initiatives, ensuring we continue to attract and retain the best leaders in the industry. Support Executive Search Processes:
Collaborate with the executive search team, hiring managers and senior leadership to understand the specific needs and requirements of executive-level positions.
Assist in the development and execution of tailored search strategies to identify and attract top executive talent.
Shape and own process improvement – developing workflows, aligning systems and ensuring projects are delivered on time and on scope.
Candidate Relationship Management:
Establish and maintain relationships with potential executive candidates, acting as a supporting point of contact throughout the search process.
Provide a positive and professional candidate experience by communicating promptly, answering queries, and offering feedback at various stages of the recruitment process.
Maintain and update the executive search database with accurate and confidential candidate information.
Ensure the database is organized and searchable, facilitating efficient retrieval of candidate profiles and related information.
Regularly audit and clean the database to remove outdated or irrelevant entries.
Coordination and Scheduling:
Coordinate all aspects of the interview process, including scheduling interviews, arranging travel, and preparing interview materials in partnership with the executive administration community across ADI.
Ensure timely and efficient communication between candidates and the hiring team, providing updates and managing expectations.
Organize debrief meetings and feedback sessions post-interview to discuss candidate evaluations and next steps.
Maintain a close communications cadence to the Executive Search Director – managing workflow and aligning on deadlines.
Stakeholder Communication:
Act as a liaison between candidates, hiring managers, and vendors to ensure smooth and transparent communication.
Assist with the preparation of search progress reports and candidate summaries to senior leadership and stakeholders.
Facilitate feedback loops to continually improve the executive search process and candidate experience.
Generate regular and ad-hoc reports on search progress, candidate pipelines, and key performance indicators (KPIs).
Analyze data to identify trends, bottlenecks, and areas for improvement in the executive search process.
Provide actionable insights and recommendations to enhance the effectiveness and efficiency of executive searches.
Compliance and Best Practices:
Ensure all executive search activities comply with company policies, industry standards, and legal regulations.
Play a key role in onboarding new hires – on a systems level (Workday) – and align on onboarding activities with hiring leaders to ensure a memorable onboarding experience for new starters.
Implement and maintainhigh standards of data privacy and confidentiality throughout the search process.
