Requirements

  • Ability to read and comprehend Faculty of Graduate and Postdoctoral Studies policies and procedures, the Faculty website, the University of British Columbia Calendar, Admissions Manual, Records Manual, and Student Academic Services Questions and Answers.
  • Ability to read, understand, and apply policies appropriately.
  • Ability to work effectively with faculty, staff, students, and the general public in a team environment.
  • Attention to detail and accuracy.
  • Ability to work under pressure, meet strict deadlines, and handle heavy volumes during peak periods.
  • Intermediate proficiency with word processing, spreadsheet, email, and internet navigation software.
  • Ability to use SynApps and the Student Information Service Centre.
  • Ability to deal effectively with irate, frustrated, or upset people.
  • Typing speed of 50 words per minute.
  • Ability to exercise tact and discretion and comply with the Freedom of Information and Protection of Privacy Act and University policies and procedures.
  • Strong analytical skills and sound judgment.

Responsibilities
  • Make admissions decisions by evaluating recommendations for admission to master’s and doctoral programs and analyzing North American and international undergraduate and graduate transcripts against established guidelines.
  • Ensure admission recommendation data and files are complete, including requesting required documents such as test scores, proof of immigration status, and reference letters.
  • Refer inadmissible admission decisions with rationale for secondary review and respond to denied applicants about options for improving future admission prospects.
  • Monitor outstanding admission and graduation requirements, communicate with graduate programs, update the Admission System, and trigger final admission status to the Student Information Service Centre.
  • Assess eligibility for University of British Columbia students seeking permission to attend Canadian and international universities under exchange agreements.
  • Adjudicate visiting-student applications from other Canadian universities under exchange agreements.
  • Generate acceptance letters containing detailed admission and biographical information.
  • Liaise with administrative staff at other academic institutions to facilitate student approvals and exchange or credit arrangements.
  • Make records decisions for graduate student record amendments in the Student Information Service Centre, including course changes, grade changes, registration blocks, fee corrections, program and credit transfers, teaching permissions, leaves of absence, completion extensions, withdrawals, and reinstatements.
  • Refer records requests outside policy to Student Academic Services Managers with a summary and rationale, and advise academic contacts about declined requests.
  • Evaluate graduation applications against established graduation requirements.
  • Review student progress reports, identify students below minimum standards, inform academic graduate programs, and advise academic contacts about required recommendations.
  • Participate in planning and developing procedures for maintaining student records.
  • Review externally funded award applications for completeness, accuracy, and eligibility under Natural Sciences and Engineering Research Council of Canada and Social Sciences and Humanities Research Council regulations, and follow up on missing information.
  • Review eligibility of Graduate Award Recommendations for four-year fellowships.
  • Provide information and respond to routine and non-routine inquiries about graduate awards and funding opportunities by email, telephone, and at the front counter.
  • Provide information and respond to complex inquiries from faculty, staff, students, prospective students, other universities, and the public regarding applications, admissions, records, graduation, and merit-based awards.
  • Assist with training and occasionally oversee new clerical and secretarial staff, including full-time employees, temporary staff, and Work-Study students.
  • Provide functional supervision to the Student Academic Services Secretary and Academic Support Assistant for designated admissions, records, applications, and fee-processing tasks.
  • Perform other related duties consistent with the role’s qualifications and skill set.
