Requirements
  • A minimum of 2 - 3 years of administrative experience supporting a team and/or senior level executive(s)
  • Strong attention to organizational and project management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent written and verbal communication skills
  • Reliable and responsive, with the ability to work quickly and efficiently both independently and as part of a team
  • Ability to operate within an environment of ambiguity; to problem solve “on your feet”
  • Ability to build rapport and work across functional teams
  • Flexible, with the ability to remain calm and professional under pressure with a positive, solutions-first approach, and team-player attitude

  • Bachelor's degree or equivalent combination of education and experience
Responsibilities
  • Provide administrative support to the Managing Director and Partner, including but not limited to:
  • Proactively handle heavy day-to-day calendar management, keeping them informed, prepared, and on time for meetings
  • Coordinate and organize internal and external meetings, including setting up meeting rooms, arranging catering, and preparing meeting materials
  • Manage information flow and field requests in a timely and accurate manner while maintaining awareness of shifting priorities and complex schedules; understanding of business context to juggle priorities, and plan ahead
  • Screening incoming requests, assignments, and correspondence to route, respond, or flag accordingly
  • Prepare and reconcile expense reports using Concur, and assist in entering billable client hours into Dynamics, our internal CRM, for assigned team members
  • Arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings, as needed
  • Work closely with IT and Office Support to troubleshoot any technology (computer, printer, cell phone, etc.) or miscellaneous issues as needs arise
  • Manage personal administrative duties such as booking travel, scheduling appointments, and other tasks for the Managing Director and Partner which will account for approximately 15% of workload
  • Additional duties as assigned
  • Support the Practice Operations team in special projects and initiatives, as needed
  • Provide coverage for other administrative staff, if/when needed
  • Assist with development of PowerPoint presentations and other collateral materials, as needed
  • Assist with background research for current and potential clients, monitoring events in the news and media pertinent to our business, as needed
  • May assist with team social event planning, such as team lunches, outings, etc
  • Additional duties as assigned
