Requirements
  • An active Secret clearance is required.

Responsibilities
  • Represent the client by monitoring and reviewing incoming and outgoing correspondence and actions, determining the proper action, and consulting others only as necessary.
  • Forward assignments to appropriate staff members.
  • Proofread and edit completed work to verify that required clearances and coordination are complete and that assignments meet objectives.
  • Screen and route material of special interest or sensitive nature to the Office Director when appropriate.
  • Maintain the client’s calendars and schedule internal and external meetings.
  • Ensure time and attendance on TATEL is accurate for direct reports and other Foreign Operations staff as needed.
  • Arrange travel, including preparing travel authorizations, obtaining visas, making reservations, closing out travel vouchers, and uploading receipts.
  • Assist with data entry for annual staff performance evaluations through the ePerformance software system.
  • Guide procurement of office supplies.
  • Maintain and distribute office phone lists, safe combination information, and other internal information as needed.
  • Provide courteous and responsive service to visitors and callers by answering phones, buzzing visitors into the suite, and escorting visitors within the building as appropriate.
  • Run errands related to the client’s business.
  • Photocopy and fax documents.
  • Track travel and office expenses.
  • Submit repair, cleaning, and physical maintenance requests.
  • Provide escorts as appropriate.
  • Maintain the client’s business contact lists and database of contacts.
  • Assist in developing and maintaining the client’s website.
  • Proofread and properly format papers submitted for Foreign Operations review.
  • Process time and attendance through TATEL.
  • Arrange staff travel through the E2Solutions travel management software.
  • Manage the performance-management process and annual staff evaluations through the ePerformance software system.
  • Procure office supplies through the Ariba system.
  • Schedule meetings and ensure calendar accuracy.
  • Perform general word-processing and other office-support functions.
  • Travel for business or professional development purposes as requested.
