Requirements
  • A high school diploma or equivalent education is required.
  • One year of customer service experience is required.
  • Basic computer skills are required.
  • The ability to perform the physical requirements of the position, including standing, walking, sitting, bending, kneeling, climbing stairs, reaching, repetitive hand and arm motions, and lifting or carrying objects weighing approximately 20 pounds, is required.
  • The ability to maintain 20/40 corrected vision, recognize objects at near and far distances, work in a latex-safe indoor environment, and occasionally work in dusty or confined spaces is required.
Responsibilities
  • Coordinate and manage the operations of a physician medical office in the Department of Psychiatry.
  • Greet and welcome patients and families in person and by telephone.
  • Schedule appointments appropriately by telephone or in person to optimize the patient experience and clinic efficiency.
  • Maintain patient accounts by accurately obtaining, recording, and updating personal and financial information.
  • Collect copayments and prior patient balances.
  • Maintain the confidentiality of patients' personal and financial information.
  • Manage customer service, message distribution, ancillary scheduling, and referrals.
  • Obtain and update demographic and insurance information for in-person visits and call virtual-visit patients to verify this information.
  • Enter and update personal and financial information for accurate billing and timely payment.
  • Prepare information and paperwork for patient visits.
  • Coordinate check-in, check-out, faxing, and scheduling for appointments, studies, and procedures.
  • Scan and secure insurance cards, identification, and signed forms.
  • Verify insurance benefits and obtain authorizations, referrals, or precertifications as needed.
  • Identify patients accurately and apply patient identification bracelets when applicable.
  • Register patients using downtime procedures and complete recovery after downtime.
  • Maintain working knowledge of insurance contracts, benefits, preferred hospitals, laboratories, and preauthorizations.
  • Monitor the Psych Missing Reg Items work queue daily and complete clinic edits.
  • Review the Daily Activity Report from prior days and resolve patients remaining in scheduled status.
  • Reschedule all patients, whether in person or virtually, within the provider's therapeutic plan-of-care timeline.
  • Monitor the Teams spreadsheet and contact patients to schedule medication-management and therapy appointments.
  • Monitor insurance and send out-of-network consent forms when needed.
  • Build, update, and post the Teams spreadsheet so that it aligns with the provider's clinical template in Epic.
  • Meet productivity metrics while performing preregistration and registration processes.
  • Review clinic schedules, verify insurance, confirm collection amounts, and process registrations in the department's required systems.
  • Use registration-system peripheral equipment, including fax, copy, print, scan, and downtime embossing equipment.
  • Complete Medicare Secondary Payer questionnaires and other regulatory and compliance forms when applicable.
  • Maintain knowledge of HIPAA, regulatory, and compliance policies and obtain required paperwork and permissions.
  • Review and scan HIPAA and compliance paperwork into patient records and provide documents to patients.
  • Review Daily Activity Reports and work queues to determine whether medical-office or out-of-network consents and estimates are needed, and ensure completion before visits.
  • Provide primary operational support to psychiatrists, fellows, residents, psychologists, advanced practice providers, licensed independent social workers, licensed professional counselors, PhD interns, and students.
  • Triage clinic calls, cancel and reschedule appointments, and send patient questions and requests to providers through Epic.
  • Enter prescription requests into Epic.
  • Assist with medication prior-authorization forms and initiate, assist with, and track prior authorizations for medical services.
  • Assist with school medication forms and complete school excuses.
  • Review and triage incoming MyChart messages to providers when the clinic uses MyChart pools in Epic.
  • Order office supplies, distribute mail, place print-shop orders, and enter facilities requests.
  • Contact Public Safety when needed.
  • Troubleshoot fax, printer, and copier issues and contact vendors when necessary.
  • Complete payment verification and workflow, screen for potential funding sources, and set patient expectations for reimbursement.
  • Collect payments, provide receipts, complete required fields, prepare estimates, calculate advance payments, explain benefits, secure waivers, post and reconcile payments, and direct patients to financial services when needed.
  • Coordinate with clinical areas to establish patient financial expectations and assist with payment issues.
  • Greet and communicate professionally with patients and guests using AIDET.
  • Use de-escalation skills for service recovery.
  • Educate patients about available resources, keep patients and families informed in waiting areas, maintain confidentiality, and help keep patient areas safe, clean, appealing, and comfortable.

  • Previous healthcare front-desk experience is preferred.
