Requirements
  • A bachelor's degree in a related field from an accredited institution is required.
  • Five years of related, progressively responsible experience with budgeting, expenditures, grants management, and/or procurement is required, preferably in a social service or nonprofit organization.
  • Proficiency in Microsoft Office Suite, particularly Excel, and other data management tools is required.
  • The candidate must have written and verbal communication skills sufficient to convey complex information clearly.
  • The candidate must have strong organizational skills, accuracy, and attention to detail.
  • The candidate must be able to manage multiple priorities and meet deadlines.
  • The candidate must be able to work collaboratively in a team-oriented environment.
  • The candidate must have a strong customer-service orientation and responsiveness.
  • The candidate must understand budgeting principles, cost analysis, and compliance policies.
Responsibilities
  • Monitor assigned project budgets throughout the year, including allocation of funds and expenditure tracking, to ensure compliance with sponsor and institutional guidelines.
  • Coordinate monthly budget meetings with program directors to analyze variances and assist with projections, identify areas of concern, and recommend corrective actions.
  • Assist with budget revisions, cost transfers, no-cost extensions, and other modifications.
  • Prepare budget documents, schedules, charts, and narrative content for public and internal presentations.
  • Assist with the development and administration of the organization's annual operating budget.
  • Maintain and monitor personnel-related budget components, including salaries and benefits.
  • Monitor accounts payable activity to ensure accuracy and proper coding aligned with the budget.
  • Train and guide staff on financial policies, procedures, and budget-related protocols to ensure consistency and compliance across the organization.
  • Review and approve purchase orders for appropriate funding sources and budget availability.
  • Provide guidance to team leadership on budget preparation, financial planning, and cost control.
  • Respond to inquiries from team leadership regarding the budget process, status, and related activity.
  • Serve as a key liaison between the Institute, CUNY Central Administration, and RFCUNY Administration.
  • Support staffing processes, including recruiting, hiring, onboarding, and other human resource needs.
  • Ensure accurate and proper processing of purchase requests, inventory maintenance, invoice payments, and reconciliation of unpaid invoices.
  • Perform the duties of subordinate positions when necessary and perform other assigned duties.
  • Attend required staff meetings and trainings.
  • Perform special projects and other assigned duties.
Desired Qualifications
  • A master's degree in a related field is preferred.
  • Experience with ERP systems, including CUNYfirst, Workday, or PeopleSoft, is preferred.
