Requirements
  • An Associate’s degree is required.
  • Two to four years of executive support experience in a professional environment, with a demonstrated history of operating independently and making decisions on behalf of senior leaders without routine supervision.
  • Prior experience supporting multiple executives or working in a shared services model is required.
  • Working familiarity with artificial intelligence productivity tools such as ChatGPT, Claude, Copilot, or equivalent for drafting, summarizing, and research, with the ability to adopt new tools and incorporate them into daily workflows.
  • Strong written and verbal communication skills, with the ability to represent executives professionally in correspondence and interactions with internal and external stakeholders.
  • Strong organization and attention to detail, with the ability to independently prioritize and manage complex, competing workstreams across multiple executives.
  • Ability to handle sensitive and confidential information with professionalism and integrity.
  • Ability to navigate shifting priorities in a fast-paced, entrepreneurial environment and flex across different executives’ needs as part of the shared assistant pool.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams, and with video conferencing tools such as Zoom and Teams.
Responsibilities
  • Manage calendars for assigned executives, making autonomous judgments about scheduling priorities, trade-offs, and time allocation.
  • Resolve calendar conflicts and competing demands without routine escalation, representing executives’ interests in scheduling decisions.
  • Identify calendar inefficiencies proactively and implement improvements.
  • Independently draft, finalize, and send correspondence on behalf of assigned executives, exercising judgment about tone, content, and appropriate responses.
  • Serve as a primary point of contact for internal and external stakeholders, making decisions about information sharing and escalation.
  • Use artificial intelligence-assisted drafting tools to improve quality and efficiency.
  • Own end-to-end meeting preparation and follow-through, including determining agenda priorities, structuring pre-read materials, and supporting decisions about logistics.
  • Capture, synthesize, and distribute action items, determining appropriate follow-up, escalation, and accountability tracking.
  • Manage complex, multi-leg domestic and international travel for assigned executives, including vendor selection, cost trade-offs, contingency planning, and real-time adjustments during disruptions.
  • Maintain preferred vendor relationships and ensure travel arrangements align with company policy and executive preferences.
  • Evaluate and implement artificial intelligence productivity workflows for drafting, research, summarization, and task automation.
  • For the designated onsite assistant, manage day-to-day office operations, including vendor selection, supply procurement, facilities issues, and visitor management.
  • Identify and resolve operational gaps, negotiate with service vendors within established budget parameters, and escalate issues requiring executive-level authority.
  • Design, own, and maintain documentation systems and information architecture for assigned executives, including decisions about structure, access, and retention.
  • Prepare and finalize high-stakes documents and presentations with minimal executive input on content and format decisions.
  • Independently manage the full expense cycle for assigned executives, including reviewing expenditures for policy compliance, categorizing expenses, resolving discrepancies, monitoring budget adherence, and flagging anomalies or trends to the EBP.
  • Lead end-to-end planning and execution for executive events, leadership offsites, and company-wide initiatives, including vendor selection, budget allocation, logistics, and contingency planning.
  • Make real-time operational decisions during events within delegated scope.
  • Coordinate coverage, share information, and align priorities with other assistants in the shared pool.
  • Serve as an authorized representative of assigned executives with internal and external stakeholders, exercising discretion when handling confidential business, personnel, and strategic information.
Desired Qualifications
  • A Bachelor’s degree is preferred.
  • Experience supporting office operations, managing supplies or vendors, or serving as an office point of contact is preferred for the onsite-designated assistant.
  • Familiarity with expense management or project management tools is a plus.

Giving Compass announced today a new partnership with Ren, laying the groundwork for donor-advised fund (DAF) advisors and account holders to access faster, more reliable nonprofit impact data. The collaboration addresses a longstanding gap in philanthropic due diligence, equipping advisors with the insights needed to make more informed, confident giving decisions. A week of research per nonprofit. The partnership comes at a pivotal moment for philanthropic advising. According to the DAF Research Collaborative, $326 billion currently sits in DAF accounts, yet much of the research required to deploy that capital remains manual and time-intensive. Historically, nonprofit research has required pulling information from multiple sources. A recent Giving Compass study found that donors spend more than a week researching a single nonprofit. For advisors managing dozens of client portfolios, that level of effort is not sustainable and limits their ability to scale both impact and client relationships. At the same time, demand for transparency is rising. 65% of donors said they would be more likely to give if they had greater insight into nonprofit impact. Advisors who can deliver timely, credible data are better positioned to build client trust and move more philanthropic capital into communities where it can make a difference. An API built for this moment. To meet this need, Giving Compass created a centralized platform to collect impact stories and outcome metrics directly from nonprofits. Using AI agents, the organization has compiled an initial dataset of more than 20,000 impact reports, extracting both narrative insights and outcome data from nonprofit publications.
