Requirements
  • At least one year of demonstrated success in a service organization, having met or exceeded specific objectives for productivity or other performance measures.
  • Ability to track a large quantity of information about Home Care Aides and use it during scheduling and discussions with Client Services Managers and other support staff.
  • Ability to work independently and as part of a team in a fast-paced, high-pressure environment.
  • Ability to effectively organize and prioritize tasks.
  • Excellent oral and written communication skills.
  • Excellent multitasking skills.
  • Excellent analytical and decision-making skills.
  • Ability to handle constantly changing priorities.
  • Strong computer skills and fluency in Microsoft Word, Microsoft Excel, Microsoft Outlook, and other software systems.
  • Reliable regular transportation.
Responsibilities
  • Provide customer service to internal and external customers receiving home care services.
  • Organize client cases and schedule reliable and appropriately matched Home Care Aides for home care clients based on location, time, skills and needs, and special requests.
  • Update and coordinate client and Home Care Aide schedules to reflect cancellations, rescheduling, logging, additions, or modifications in the automated scheduling system.
  • Monitor, evaluate, and report client information to appropriate personnel, escalating urgent matters and complex cases to the Client Services Manager and/or Director of Home Care and Support Services as needed.
  • Investigate Home Care Aide-related complaints and issues with the Client Services Manager, managing concerns through coaching opportunities, disciplinary action, and termination.
  • Provide paid on-call services after hours, on weekends, and on holidays, returning calls within 15 minutes of initial contact.
  • Assist in recruiting and screening Home Care Aides.
  • Assist with compliance standards for Home Care Aides, including current commercial driver’s license and insurance documentation, annual bloodborne pathogen training, annual tuberculosis testing, and current certified nursing assistant or home health aide licensure as needed.
  • Participate in the orientation process of Home Care Aides as needed.
  • Participate in the weekly payroll process as it relates to scheduling issues, including verification of Home Care Aide shifts, to ensure timely and accurate payroll and billing.
  • Reconcile payroll and billing issues with accounting.
  • Participate in interdisciplinary team meetings as requested.
  • Maintain client and Home Care Aide confidentiality and privacy at all times.
  • Record all on-call shifts worked on biweekly timesheets.
  • Perform other job-related duties as assigned.
Desired Qualifications
  • At least one year of private duty home care coordination experience.
  • A Bachelor’s degree in Social Work or a related field.
  • One year of staffing experience.
  • Medical administrative staffing experience.
  • Database or customer relationship management experience.
