Requirements
  • High school graduation, one year of post-secondary education, completion of a Medical or Dental Office Assistant program including terminology, and three years of related experience, or an equivalent combination of education and experience.
  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
  • Commitment to enhancing awareness, knowledge, and skills related to equity, diversity, and inclusion.
  • Understanding of medical terminology and basic anatomy.
  • Knowledge of medical billing procedures, including Medical Services Plan, Insurance Corporation of British Columbia, Workers’ Compensation Board, and uninsured services billing.
  • Proficiency using electronic medical records.
  • Understanding of team-based care, person-centered care, interprofessional education, and continuous quality improvement or approaches for integrating knowledge into practice.
  • Understanding of occupational health and safety requirements and infection prevention and control expectations within primary care.
  • Ability to work independently and in a team environment with diverse students, patients, caregivers, faculty, staff, community partners, and external organizations.
  • Ability to communicate effectively, problem solve, and resolve conflicts professionally, both verbally and in writing.
  • Ability to compose correspondence, reports, presentations, and other written materials using clear, concise business English.
  • Ability to coordinate tasks effectively and efficiently.
  • Ability to provide courteous, patient customer service.
  • Ability to use tact and discretion when discussing problems and eliciting sensitive or confidential information.
  • Ability to exercise diplomacy and sound judgment when interpreting information and making decisions or recommendations.
  • Ability to support administrative functions of evaluation and research to advance collaborative health education and practice improvement.

  • Experience using Microsoft Office, including Outlook, Word, Excel, and PowerPoint, at an intermediate level.
  • Ability to use video and web conferencing technologies such as Zoom and Microsoft Teams.

Responsibilities
  • Coordinate patient care throughout the clinic, including arriving patients, escorting patients, and preparing and turning over examination rooms.
  • Provide timely service with minimal supervision during high-volume periods while maintaining a patient-first approach.
  • Monitor and respond to patient messages and calls, provide appropriate information and assistance, and redirect inquiries according to clinic protocols.
  • Direct patients to appropriate team members according to clinic protocols or in consultation with the patient’s care team.
  • Listen empathetically to patients’ concerns and communicate them to relevant team members with the patient’s consent.
  • Perform basic patient assessments as requested and document them in the electronic medical record.
  • Complete calls, messages, forms, and other tasks requested by care team members for patient care.
  • Perform and record results for point-of-care laboratory tests conducted in the clinic.
  • Work with chronic disease management protocols.
  • Fax prescription renewals according to clinic protocols.
  • Maintain strict confidentiality of patient information and medical records.
  • Respond accurately, respectfully, and in a timely manner to inquiries from a diverse population.
  • Maintain and stock clinical examination rooms with required medical supplies.
  • Identify opportunities and work with Gateway team members to improve team-based care education, practice, and operations.
  • Use conflict resolution and de-escalation strategies as needed.
  • Escalate urgent service requests according to protocols and direct customer service complaints appropriately.
  • Respond to inquiries about clinic activities, policies, and procedures and redirect callers as required.
  • Work collaboratively within a team context to ensure high standards of service provision.
  • Provide general clinical administrative support associated with patient care.
  • Arrange tests and procedures and obtain results and records from other clinics, doctors’ offices, and institutions.
  • Greet patients, schedule appointments, coordinate referrals, and provide clinic and appointment information when supporting reception workflows.
  • Maintain inventory and maintenance logs and submit supply requests to the Clinic Manager.
  • Clean and sterilize medical equipment and instruments, including appropriate use of the autoclave.
  • Assist with preparation and upkeep of protocol and procedure manuals.
  • Maintain, review, and correct billing and diagnostic code entries for shadow billing and tracking.
  • Prepare billing and tracking documentation for electronic transmission and retrieval of claims.
  • Reconcile and correct rejected, adjusted, or held claims as needed.
  • Process medical and legal requests and associated billing.
  • Process receipts for incoming payments by cash, cheque, or electronic transaction when supporting reception workflows.
  • Help develop and implement clinic practices and evaluate and iterate best practices in team-based education and care.
  • Perform additional duties as required.
