Requirements
  • An Associate’s degree.
  • Two or more years of administrative support experience.
  • Professional presence with strong customer service skills.
  • Excellent organizational, oral, and written communication skills.
  • Ability to perform multiple tasks under pressure and work independently.
  • Proficiency with Microsoft 365, including Word, Excel, Outlook, PowerPoint, and Teams, as well as OneDrive and Zoom.
  • The essential functions require speaking and hearing for in-person and virtual communication, close and distance vision for reading documents and viewing screens, repetitive fine motor skills, and occasional lifting, bending, carrying, or moving objects weighing up to 15 pounds, with or without reasonable accommodations.
Responsibilities
  • Assist with office operations, including mail distribution, office supply maintenance, filing system organization, and record retention.
  • Serve as the first point of contact for visitors to the Office of the President as needed.
  • Coordinate meetings by scheduling appointments, managing RSVPs, drafting materials, creating Teams and Zoom meetings, and assisting with room setup and cleanup.
  • Assist with planning and coordinating institutional and Board of Trustee events.
  • Support payment processing, purchasing, expense reconciliation, reimbursements, and budget tracking.
  • Prepare correspondence, congratulatory messages, condolence letters, birthday acknowledgements, and other presidential communications.
  • Maintain the President’s Office Outlook distribution groups and assist with calendar updates.
  • Maintain professional association memberships and institutional directories.
  • Administer the University’s scheduling software.
  • Coordinate campus-wide facility reservations and scheduling requests.
  • Review, approve, and process room reservation requests while ensuring scheduling accuracy.
  • Maintain scheduling database integrity, troubleshoot issues, and train and support system users.
  • Produce scheduling reports and utilization data.
  • Create room diagrams and event layouts.
  • Assist faculty, staff, students, and external clients with scheduling questions and event planning.
  • Ensure compliance with University scheduling policies and procedures.
  • Collaborate with colleagues and leadership to ensure successful execution of events.
  • Assist with conference and event operations as needed.
  • Support institutional initiatives requiring coordination of projects across multiple departments and ensure established deadlines are met.
  • Identify opportunities for administrative process improvement, including using technology to improve efficiency.
  • Maintain organized electronic and physical records.
  • Perform other duties as assigned.
Desired Qualifications

  • Scheduling and event planning experience.
  • Experience in higher education or an academic setting.
