Responsibilities
  • Complete initial patient intake and accurately enter patient financial and personal demographic information into the computer system.
  • Verify and document insurance benefits and coverage, obtain required authorizations, and communicate financial responsibility to patients or guarantors.
  • Collect patient co-pays, deductibles, and out-of-pocket estimates, and process payments according to hospital policies.
  • Obtain signatures, copy or scan identification and healthcare coverage documents, and document when information cannot be obtained.
  • Complete intake and registration for patients arriving by ambulance or other emergency transport and coordinate with medical staff for immediate care.
  • Obtain and manage forms required for Joint Commission compliance and follow front-end collections policies.
  • Communicate orally and in writing with patients, physicians, hospital personnel, and other customers.
  • Oversee the waiting area, assist patients experiencing long wait times, and address concerns.
  • Coordinate with physicians, nurses, and other healthcare professionals to facilitate patient flow and timely admission processing.
  • Handle high-pressure situations and support patients and families during emergencies or stressful situations.
  • Address and resolve patient inquiries, complaints, and issues promptly.
  • Cross-train in other registration positions and work with leaders and departments to improve patient care and the health system.
  • Provide training and guidance to new hires on registration procedures, departmental policies, and system usage.
  • Respond to emergency situations, coordinate with other departments, and adjust procedures to support patient care and safety.
  • Follow emergency protocols and procedures, including assisting with disaster drills and real emergencies.
  • Monitor and maintain the accuracy and security of patient data in the electronic health record system, including conducting regular audits.
  • Explain the registration process, visit expectations, and required follow-up actions to patients and families.
  • Use patient management systems, communication devices, and diagnostic equipment effectively.
  • Participate in quality improvement initiatives to enhance patient satisfaction, operational efficiency, and department performance.
  • Process direct and emergency department admissions, complete required documentation including IMM or MOON forms when applicable, and communicate admission information to medical and administrative staff.
  • Verify and initial Veterans Affairs authorizations and communicate authorization details to relevant departments.
  • Assist with discharge instructions and ensure patients understand follow-up care, referrals, and appointments.
  • Help patients and families navigate the healthcare system, schedule follow-up appointments, and connect with social services when needed.
  • Collect and document patient feedback, suggestions, and complaints, and report issues to the appropriate personnel.
  • Follow safety protocols and infection control practices, including use of personal protective equipment and proper sanitization.
  • Answer calls from nursing units promptly and professionally and coordinate with nursing staff to support patient care.
  • Perform compliance requirements, follow DCH Health System policies and procedures, and perform other assigned duties.
Desired Qualifications
  • One to two years of experience in a healthcare setting.
  • Experience in a customer-facing role with strong interpersonal and communication skills.
  • Certification from a recognized professional organization, such as Certified Healthcare Access Associate or Certified Revenue Cycle Specialist.
  • Familiarity with medical terminology.
