Requirements

Responsibilities
  • Direct day-to-day health center operations, set priorities, and allocate resources to achieve performance and service delivery goals.
  • Maintain a comprehensive view of site operations, proactively identify issues, implement solutions, and ensure timely follow-through.
  • Ensure consistent on-site leadership coverage, lead leadership meetings, and coordinate with health center leadership.
  • Oversee scheduling, intake, registration, billing support, records, and mail/courier functions to ensure operational efficiency, accuracy, and regulatory compliance.
  • Resolve complaints, grievances, and operational concerns promptly and effectively.
  • Collaborate with clinical leaders across substance use disorder, psychiatry, and primary care to advance integrated, team-based care.
  • Align administrative operations with clinical priorities, facilitate communication across teams, and lead resolution of cross-program challenges.
  • Provide operational leadership and strategic input for the development and expansion of programs and services.
  • Partner with internal programs to optimize timely patient access and care coordination.
  • Manage site financial performance, including budget development, expense monitoring, and variance resolution.
  • Oversee billing operations and ensure performance targets and documentation, authorization, and regulatory requirements are met.
  • Ensure purchasing and cash-handling practices align with organizational policies and internal controls.
  • Oversee facility maintenance and repairs and coordinate with property management.
  • Lead space planning and allocation within budget and facility constraints.
  • Drive continuous improvement of systems, workflows, and policies.
  • Identify and mitigate operational risks through proactive planning and problem-solving.
  • Build and sustain partnerships with internal departments, vendors, and community stakeholders.
  • Lead and contribute to cross-functional workgroups and process-improvement initiatives.
  • Champion Feedback Informed Treatment practices in the service-delivery model.
  • Comply with applicable laws, regulations, policies, procedures, and billing requirements.
  • Maintain accurate and current documentation for agency and regulatory compliance.
  • Adhere to mandatory abuse-reporting laws and Health Insurance Portability and Accountability Act requirements.
  • Understand safety regulations and evacuation procedures and participate in safety drills.
  • Serve as or designate the site safety lead, ensure staff are trained in emergency procedures, and ensure incidents are documented and reviewed.
  • Complete assigned employee training.
  • Provide guidance, support, and training to staff.
  • Determine staffing requirements with program leadership, recruit, hire, and train staff.
  • Facilitate multidisciplinary staff meetings and training concerning safety, crisis management, complex client needs, billing and documentation standards, risks, and critical incidents.
  • Assign and coordinate staff schedules and responsibilities.
  • Foster collaboration across administrative, clinical, and cross-functional teams.
  • Establish work plans and priorities for staff and assess staff progress.
  • Provide consistent supervision and support for direct reports.
  • Promote and ensure completion of annual training requirements.
  • Attend assigned meetings, staff and team meetings, consultations with staff, and individual and group supervision.
  • Develop and maintain relationships with internal and external customers to promote quality and efficiency.
