Requirements
  • A high school diploma and four years of relevant experience in business management, public administration, or administrative services, or a bachelor's degree and two years of experience in business management, public administration, or administrative services.
  • Ability to perform the listed physical job functions, including working in upright, seated, walking/mobile, indoor, outdoor, confined, kneeling, bending, squatting, pinching, hand and arm use, repetitive motions, reaching, lifting and carrying up to 15 pounds, and pushing or pulling objects up to 15 pounds.
  • Ability to maintain the listed visual capabilities, including corrected 20/40 vision, near and distance vision, color discrimination, depth perception, and peripheral vision.
  • Ability to maintain hearing acuity, with correction, and hear or understand whispered conversations at a distance of three feet.
  • Ability to perform gross motor functions with frequent fine motor movements.
  • Ability to work in dusty areas.
Responsibilities
  • Review and manage held appointment time to support access initiatives, eliminate unnecessary held time, improve clinic availability, anticipate provider patient volume, and enable timely room backfill when providers are out of the office.
  • Collaborate with the Musculoskeletal Patient Access Liaison to use QGenda to enter PATH form updates and maintain accurate provider clinical templates in Epic.
  • Provide administrative support and coverage for the administrative team during absences to ensure continuity of operations and workflow.
  • Coordinate faculty leave requests with the Department Chair and Executive Administrative Assistant of Orthopaedics, facilitate OR block time reallocation, communicate provider availability, liaise with faculty, administrative assistants, and the surgery scheduling team, and monitor leave submissions.
  • Provide one-on-one training for newly hired administrative assistants using a structured checklist to prepare them for remote work.
  • Assist incoming faculty with ordering business cards and coordinate faculty office setup, including workspace readiness and basic equipment needs, by collaborating with facilities, IT, and supply chain.
  • Process faculty leave requests in Qgenda and maintain and communicate Orthopaedics call schedule updates as a backup resource.
  • Process, sort, and route incoming faxes within the Consensus e-fax system.
  • Use the Smartsheet onboarding tool to track onboarding tasks for physicians and advanced practice providers.
  • Perform other duties as assigned.
