Requirements
  • At least 5 years of administrative, business support, or customer service experience in an environment emphasizing meeting and event scheduling, travel management, and administrative work for executive or upper-level management.
  • A bachelor's degree in a relevant field such as Business Administration, Human Resources, Marketing, Communications, Psychology, or Sociology, or equivalent experience.
  • At least 2 years of experience serving as a mentor to others.
  • At least 3 years of experience reviewing and managing administrative budgets, such as budgets for events, morale, travel, or training.
  • Experience providing executive-level administrative or business support in a complex, highly matrixed organization.
  • Experience managing complex calendars, meeting logistics, executive travel, and events with consistent attention to detail.
  • Ability to manage multiple priorities and projects simultaneously, anticipate needs, and deliver against changing deadlines.
  • Written and verbal communication skills sufficient to engage confidently and appropriately with executives and diverse audiences.

Responsibilities
  • Manage complex calendars for one or more leaders, balancing customer and partner engagements, business reviews, people leadership, travel, and protected focus time.
  • Evaluate requests, resolve conflicts, identify delegates, and make informed recommendations based on leader preferences and organizational priorities.
  • Coordinate participants, rooms, technology, agendas, pre-reads, briefing materials, and follow-up so leaders are fully prepared for meetings.
  • Align calendars across the Area and Account Team Units with Chiefs of Staff, Business Managers, and Business Support peers while handling sensitive or ambiguous situations with discretion.
  • Help operate the Software & Digital Platforms rhythm of business, including leadership meetings, business reviews, planning cycles, talent cadences, and organization-wide communications.
  • Create and maintain annual and quarterly calendars, workback plans, checkpoints, and dependency tracking for Account Team Unit and Area commitments.
  • Prepare meeting materials, clarify decisions, assign actions, and maintain momentum between leadership forums.
  • Identify recurring friction, recommend simpler operating approaches, and adjust processes as business priorities or organizational needs change.
  • Own end-to-end planning for leadership offsites, all-hands meetings, executive engagements, customer or partner events, recognition moments, and team experience activities.
  • Develop workback schedules, checkpoints, budgets, supplier plans, communications, logistics, attendee experiences, and contingency plans for events.
  • Serve as the primary event contact, delegate tactical work as appropriate, resolve preparatory setbacks, and provide on-site support when needed.
  • Track attendance and outcomes, distribute materials, close actions, and capture lessons after events to improve future events.
  • Plan complex domestic and international travel for leaders, aligning itineraries with customer priorities, Account Team Unit outcomes, and trip productivity goals.
  • Coordinate transportation, lodging, security, group arrangements, agendas, briefing materials, local stakeholders, and destination expectations.
  • Respond to schedule changes, disruptions, and escalations during business travel while keeping stakeholders informed.
  • Ensure required travel documentation and policy compliance, including use of the U.S. Travel Tax Tool, and share policy guidance with less experienced colleagues.
  • Balance multiple projects end to end while maintaining accuracy, communication, and execution standards.
  • Translate objectives into workback plans, milestones, dependencies, stakeholder roles, risk management, and measurable outcomes.
  • Drive stakeholder accountability through consistent follow-up and communicate organizational impacts or risks early.
  • Streamline processes, implement practical improvements, delegate work when appropriate, and evaluate project success at conclusion.
  • Support discretionary budget tracking, expense management, purchase orders, receipts, statements of work, reclassifications, and policy compliance with Finance.
  • Resolve expense, purchasing, supply, or account-balance issues by coordinating with leaders, Finance, suppliers, and accountable partners.
  • Manage vendor and supplier relationships and ensure required financial setup and processing steps are completed.
  • Support equipment, inventory, supply, and software-license planning; provide forecasts and recommendations; and serve as an interim approver when formally delegated.
  • Support internal, external, intern, and university recruiting processes by partnering with Global Talent Acquisition and hiring managers.
  • Coordinate onboarding and offboarding activities, including equipment, workspaces, distribution lists, security groups, stakeholder connections, and support for employees, vendors, interns, and executives.
  • Coordinate headcount activities, including transfers, departures, reporting, offboarding, and transactions in the appropriate tools.
  • Maintain accurate headcount information with Finance and team members and identify improvements to related systems and processes.
  • Participate in the Business Support community, develop and share effective practices, and contribute insights that strengthen the discipline.
  • Mentor, onboard, and train less experienced Business Support colleagues and participate in Business Support interviews when requested.
  • Support team building, inclusive culture, continuous learning, and meaningful growth opportunities for self and others.

Microsoft gives US schools enforceable AI privacy controls over student data

Microsoft announced it will allow every US school district to set its own AI privacy and safety rules in their contracts. The move comes days after New York City imposed a one-year moratorium on AI in public schools. The "National AI Safety & Privacy Standard", announced by Microsoft Vice Chair Brad Smith alongside teachers' union leaders, becomes legally enforceable when written into district agreements. It prohibits using student data to train AI models, tracking students, and allowing AI to make decisions without human review. The protections take effect on 1 November for all school districts working with Microsoft, whether or not they actively adopt them. Districts can cancel contracts and seek damages if companies violate the rules. Union leaders said they hope OpenAI and Anthropic will sign similar agreements. Both companies have expressed willingness but haven't confirmed.

Tech giants' $1.1T AI spending spree raises cash-flow concerns as investment outpaces returns

Amazon, Meta, Microsoft, Alphabet and Oracle — collectively dubbed the "Hyper 5" — have spent $1.1 trillion on capital expenditures over the past five years to build AI infrastructure, according to S&P Global Market Intelligence. Analyst estimates project another $5.3 trillion in spending through 2030. The investment surge is putting pressure on free cash flow. Amazon's free cash flow fell to negative $7.6 billion over the 12 months ended 30 June, from positive $18.2 billion a year earlier. Meta's second-quarter free cash flow dropped 91% to $784 million. S&P Global warns the key risk is companies transitioning from cash to debt-funded investment before returns validate the spending. However, the tech giants remain highly profitable, distinguishing this cycle from the dot-com boom.

Microsoft Outlook and OpenAI's ChatGPT Work suffer outages on same day

Microsoft's Outlook and Exchange Online services experienced a widespread outage on 31 August, with over 6,000 reports on Downdetector. Microsoft said users may experience degraded functionality whilst it reviewed service telemetry. On the same day, OpenAI's ChatGPT Work suffered a separate three-hour outage. There were no reports connecting the two incidents, though Microsoft and OpenAI remain closely tied through Microsoft's investment and Azure infrastructure support. Microsoft reported record fourth-quarter revenue of $90.01 billion, up 18% year over year. Azure revenue surpassed $100 billion annually after growing 43% in the quarter. Commercial remaining performance obligations jumped 84% to $678 billion. Microsoft 365 Copilot surpassed 30 million paid seats, with net seat additions more than doubling sequentially.

Microsoft CEO sells $43M in stock under pre-arranged plan tied to performance award

Microsoft CEO Satya Nadella sold approximately $43 million worth of company stock, but the transaction should not be interpreted as a bearish signal. The sale of 86,525 shares on 1 September was executed under a pre-arranged Rule 10b5-1 trading plan adopted on 8 March 2026, designed to sell shares tied to a performance-stock award. Microsoft's fundamentals remain robust. Fiscal fourth-quarter revenue increased 18% to $90 billion, whilst net income rose 31% to $35.8 billion.
