Requirements
  • An Associate’s Degree in a business-related field or a high school diploma with comparable experience is required for the Business Office Manager role.
  • At least two years of Business Office Manager experience is required.
  • At least one year of healthcare accounts receivable and/or accounts payable experience is required.
  • Accounting and general office software proficiency and use of general office equipment are required.
  • A Bachelor’s Degree with 3-5 years of experience, or an Associate’s Degree with 5-7 years of experience, is required for the Human Resource Manager role.
  • Labor relations experience is required if the community has a union.
  • Experience managing assigned staff, including selection, training, development, and performance management, is required where applicable.
Responsibilities
  • Ensure compliance with state, federal, and county rules and regulations and Benedictine policies regarding accounts receivable processes.
  • Develop proficiency in and serve as a resource for the billing system, accounting software, online payer portals, and other applications.
  • Ensure admissions and financial paperwork is completed for each admitted resident and obtain prior authorizations where applicable.
  • Manage resident setup, applicable charges, payers and payer changes, and private-pay setup in the billing system.
  • Perform eligibility checks, verify insurance benefits, and provide coverage details to residents.
  • Initiate financial conversations and collect down payments at referral, including private-pay room and board, private-room differentials, copayments, deductibles, and estimated spenddowns.
  • Perform ongoing billing collection for in-house residents and final bill collection upon discharge.
  • Drive the Medicaid application process for applicable residents.
  • Manage census activities for the community.
  • Process payments and perform daily bank deposits using a desktop scanner, or physical bank deposits at least twice weekly when needed.
  • Enter ancillary charges and submit vendor invoices to Accounts Payable according to corporate policies and procedures.
  • Oversee daily management of the Resident Trust Account and petty cash and assist with monthly Resident Trust Account reconciliation.
  • Perform applicable month-end close activities and reconcile expenses to revenue monthly.
  • Complete annual Medicaid and Medicare Cost Reporting and other year-end activities.
  • Participate in monthly accounts receivable aging reviews and assist the centralized billing office with collection activities and follow-up.
  • Promote the Benedictine Mission and Core Values in day-to-day company activities.
  • Develop, plan, and implement Human Resource strategies, objectives, and plans for the community.
  • Manage day-to-day human resources, payroll, and benefits operations in compliance with federal and state laws and regulations while maintaining confidentiality and professionalism.
  • Ensure community staffing needs are met by following the standardized hiring process, developing retention strategies, operating the applicant tracking system, and using behavioral-based interviewing techniques.
  • Schedule and facilitate new-employee welcome orientation, including new-hire paperwork and processes.
  • Administer FMLA, accommodations, and other leave-of-absence requests.
  • Support supervisors with performance management, including performance reviews, employee relations, coaching, corrective action, performance improvement plans, investigations, and associate concerns.
  • Ensure adherence to the affirmative action plan and create and submit the plan according to due dates when applicable.

  • Knowledge of the healthcare industry.
  • Certified Payroll Professional certification.
  • Professional in Human Resources certification.
  • Experience working in a union facility.
  • Experience in a union-contract work environment as part of management.
