Diamond Foundry is seeking a community-building-focused Office Manager who is seasoned in all things office operations for our Bay Area locations. Based out of South San Francisco, this person will be the oil that helps keep things moving from ensuring staff members have what they need, to triaging unique requests. The ideal candidate thrives in a multi-faceted role where you interact with staff members across all levels, is quick on their feet, are known as a lynchpin, ensuring the workplace is running smoothly. This role will include some level of C-level support from time to time but mainly supports staff members, guests, and vendors by providing a positive experience when coming in to visit.
Responsibilities:
- Own and maintain daily office operations from lunch/catering management, vendor relations, and triaging requests for the main offices
- Provide some support to other Bay Area locations
- Acts as the main point of contact for all things office related from directing and funneling questions, to setting up for unique events/situations
- Provide support to C-Suite/ Corp when requested. Items vary from setting up travel, guest dinners, special events, and expense management
- Be the person who owns all events whether it’s milestones, appreciation days, or company events
- Liaise with other office staff to coordinate intercompany travel and special projects
- Act as the champion on behalf of employees when needed building trust and a sense of community
- Understand the intricacies of where information should go, using the utmost discretion
- Own onboarding and offboarding of employees, partnering with both core HR and IT
- Partner with facilities and other key departments to solve problems that arise.
Skills and Requirements:
- A minimum of 3 + years of office management experience in a high pace, dynamic environment
- C-Suite support experience is preferred
- Impeccable communication both verbal and written
- Strong attention to detail - the little details matter the most
- High sense of responsibility when it comes to the employee and guest experience
- Strong project management skills with the ability to pivot and prioritize
- Highly adaptable, isn’t afraid to dig into details and solve problems
- Technically savvy with google applications and various programs and systems
- Strong interpersonal and relationship-nurturing skills
