Requirements
  • A completed high school education or equivalent qualification is required.
  • Initial or relevant experience in reception, customer service, hospitality, office organization, workplace services, or a similar service-oriented or customer-facing environment is preferred.
  • Very good or fluent German and English skills, spoken and written, are required; at least B2 level is required and C1/C2 is recommended.
  • Strong customer-service orientation and professional, polished, and friendly conduct are required.
  • Strong communication skills are required when dealing with internal stakeholders, clients, visitors, and external contacts.
  • Good organizational skills, attention to detail, and a careful, reliable, and structured working style are required.
  • Ability to remain calm, organized, and solution-oriented during periods of high visitor volume or increased workload is required.
  • Basic or good proficiency in Microsoft Office applications is required.
  • Ability and willingness to move materials weighing up to 10–15 kg is required.
  • High levels of discretion, confidentiality, reliability, and professionalism are required.
Responsibilities
  • Welcome visitors, clients, business partners, and employees in a professional and courteous manner.
  • Serve as the point of contact for front-desk and general reception inquiries.
  • Handle incoming calls, emails, messages, and visitor requests efficiently and professionally.
  • Support visitor check-in, access procedures, badge handling, identification issuance, and parking coordination in line with local site processes.
  • Maintain reliable reception coverage during assigned business hours.
  • Route requests and concerns to the appropriate internal contacts.
  • Support conference-room bookings, reservations, and meeting-room scheduling.
  • Assist with meeting-room setup, readiness, orderliness, cleanliness, and presentation for internal and external meetings.
  • Support refreshments, catering coordination, hospitality arrangements, and meeting preparation as required.
  • Help maintain conference rooms, pantry areas, common spaces, and other shared areas in a clean and presentable condition.
  • Coordinate with internal teams, specialist departments, and external service providers to support smooth operations and meeting experiences.
  • Provide day-to-day administrative and operational support related to reception activities.
  • Process, allocate, and route local office invoices in coordination with Accounts Payable.
  • Open, scan, distribute, and forward incoming physical mail, and coordinate local courier services.
  • Monitor office-material stock, order snacks and beverages, and ensure they are presented appropriately.
  • Report facility and equipment issues to external vendors such as building management and escalate issues to Office Management when appropriate.
  • Maintain visitor lists and support meeting coordination and routine workplace tasks.
  • Monitor daily schedules, room usage, and workload coordination within the reception area.
  • Support ad hoc tasks and provide coverage during peak periods.
  • Maintain confidentiality and discretion in all interactions.
  • Respond calmly and factually to routine issues and escalate complex matters to the responsible office or team.
Desired Qualifications
  • Initial or relevant experience in reception, customer service, hospitality, office organization, workplace services, or a similar service-oriented or customer-facing environment.
  • C1 or C2 German and English language proficiency.
  • Familiarity with visitor-management or room-booking systems.
