Requirements
  • At least five years of recent HVAC and refrigeration service experience.
  • At least three years of service management experience.
  • Two years of technical training or an associate degree.
  • Working knowledge of Microsoft Word, Excel, and Outlook, with the ability to learn new systems.
  • A valid driver’s license.
  • Experience managing and understanding profit margins, job costing, and other business-related metrics.
  • Problem-solving and conflict-management skills.
  • The ability to handle multiple tasks and assignments while remaining detail-oriented and highly organized.
  • The ability to generate ideas and create processes to grow the service department.
  • The ability to read and interpret safety rules, operating and maintenance instructions, and procedure manuals.
  • The ability to work effectively with management, executive leadership, support staff, and technicians.
  • The ability and willingness to work a non-standard schedule, including nights, weekends, and holidays as necessary.
  • The ability to understand and follow company policies, procedures, and applicable state and federal laws.
  • The ability to use typical business tools, including email, Microsoft Word, and Microsoft Excel.
Responsibilities
  • Lead the administrative team in supporting field HVAC and refrigeration technicians.
  • Work with service and installation technicians, dispatch personnel, and other managers to ensure customer satisfaction and departmental goals are met.
  • Represent the company to customers, vendors, and suppliers and communicate job or project status and requirements accurately.
  • Maintain communication with vendors and factory personnel regarding warranty issues, product recalls, operational product problems, premature failures, and other issues.
  • Monitor assigned service vehicles to ensure proper maintenance and operation, and maintain adequate inventories of parts and materials.
  • Grow branch revenue and maximize branch profitability.
  • Prioritize customer needs by delivering high-quality service and engaging with partners to improve the customer experience.
  • Develop and monitor budgets, goals, and objectives to maintain satisfactory profit and loss performance.
  • Review work orders, invoices, and time reports for accuracy.
  • Send customer quotes promptly.
  • Assist the Service Manager with a regular training program covering current service techniques and safety procedures.
  • Coordinate with dispatch to schedule personnel according to skill level, efficiency, and training requirements.
  • Communicate daily with dispatch about project information, estimated completion times, labor hours, and parts or materials used.
  • Support the Service Manager in interviewing, screening, and evaluating technicians.
  • Screen, interview, and evaluate administrative personnel to meet workload demands.
  • Schedule HVAC technicians to meet service demands and customer expectations.
  • Review work-order accuracy, technicians’ work and techniques, and safety requirements to ensure established quality standards are met; recommend improvements to quality and productivity.
  • Conduct staff performance appraisals and reviews and set improvement goals according to company requirements.
  • Ensure compliance with health and safety regulations, policies, and established work practices, including completion of employee safety training and compliance.
  • Support the Service Manager in managing service teams and manage the teams as needed.
  • Validate and approve payroll hours.
  • Perform other assigned duties.
