Requirements
  • 2–5 years of experience in business operations, project coordination, program coordination, administrative operations, human resources operations, people operations, or a similar professional environment.
  • Demonstrated experience coordinating processes, maintaining accurate records or systems, tracking deadlines and deliverables, and following work through completion.
  • Experience managing multiple concurrent workflows, requests, projects, or administrative processes.

Responsibilities
  • Support the operational transition of individuals selected for hire from recruiting into employment.
  • Coordinate required activities following an approved hiring decision and candidate acceptance.
  • Prepare and coordinate offer and employment documentation in accordance with established processes.
  • Coordinate background checks, employment verifications, and other required pre-employment activities.
  • Collect and maintain information required to establish new employees within applicable workforce systems and processes.
  • Coordinate with incoming employees, managers, Technology, Finance, Resource Operations, and other stakeholders to support employee readiness.
  • Maintain visibility into incoming employee status, required activities, dependencies, deadlines, and outstanding actions.
  • Follow up with responsible stakeholders to obtain required information and drive outstanding activities through completion.
  • Identify issues that could affect a new employee's start date or readiness and escalate them appropriately.
  • Help ensure required administrative and onboarding activities are completed before and immediately following an employee's start date.
  • Coordinate employee onboarding activities from initiation through completion.
  • Facilitate new hire orientation and onboarding logistics.
  • Process employee changes including promotions, transfers, compensation changes, work arrangement changes, and other employment updates.
  • Coordinate employee separation and offboarding activities.
  • Ensure employee lifecycle activities are accurately documented and reflected in applicable systems and records.
  • Maintain checklists, workflows, documentation, and approvals associated with employee lifecycle activities.
  • Track required activities and follow up on incomplete or outstanding requirements.
  • Escalate overdue, inconsistent, or at-risk activities when appropriate.
  • Perform recurring workforce administration activities in accordance with established procedures and standards.
  • Maintain employee records and workforce system information with a high degree of accuracy.
  • Coordinate benefits enrollment, employee benefits changes, and related documentation.
  • Support leave and employee status administration as assigned.
  • Maintain workforce forms, templates, trackers, calendars, and standard documentation.
  • Maintain personnel and employment records in accordance with established requirements.
  • Coordinate recurring administrative activities and deadlines.
  • Help ensure workforce changes are accurately reflected across applicable systems, records, and processes.
  • Maintain documentation demonstrating completion of required workforce activities.
  • Serve as a point of contact for routine workforce administration questions and requests.
  • Coordinate and track employee and manager requests through resolution.
  • Assist employees with workforce processes, benefits, forms, employment changes, and general administrative questions.
  • Provide responsive and professional communication to employees and managers.
  • Route matters requiring specialized expertise to the appropriate Workforce Performance & Operations team member or organizational function.
  • Follow up on open requests and help ensure employees and managers receive timely resolution.
  • Identify recurring questions or issues and bring them forward as potential opportunities for improved communication, documentation, or process design.
  • Maintain accurate employee information within human resources information systems and related workforce systems.
  • Review records and information for completeness and accuracy.
  • Identify missing information, discrepancies, or data-quality issues and help drive resolution.
  • Maintain workforce trackers and operational reporting.
  • Provide visibility into open activities, deadlines, exceptions, and completion status.
  • Assist with organizational charts and workforce reporting.
  • Support recurring workforce data reviews and audits.
  • Prepare routine workforce reports and metrics as assigned.
  • Follow established workforce administration processes and standard operating procedures consistently.
  • Help document recurring workflows, procedures, checklists, and operating instructions.
  • Identify process gaps, unnecessary steps, recurring issues, or opportunities for improved efficiency.
  • Bring process issues and improvement ideas to the Workforce Administration Lead.
  • Support implementation of new or improved workforce processes.
  • Support implementation and adoption of workforce systems, technologies, automation, and self-service capabilities.
  • Help test and validate process or system changes.
  • Participate in workforce administration projects and continuous improvement initiatives.
  • Coordinate with Talent Acquisition during the transition of selected candidates into employment.
  • Coordinate with Resource Operations when workforce readiness or resource information is required.
  • Work with Human Resources Operations on activities involving employment requirements, policies, or compliance processes.
  • Coordinate with Workforce Performance when employee matters require performance or development support.
  • Work with Finance, Payroll, Technology, managers, and other stakeholders on workforce activities requiring cross-functional action.
  • Maintain visibility into cross-functional dependencies and follow up on outstanding requirements.
  • Escalate unclear ownership, unresolved dependencies, or recurring handoff issues to the Workforce Administration Lead.

  • Experience supporting processes involving confidential or sensitive information.
  • Experience with human resources information systems, workforce management, project management, or other business systems.
  • An Associate's or Bachelor's degree in Business Administration, Operations, Human Resources, Project Management, or a related field.
