Requirements
  • High School graduate or equivalent
  • One year experience in birth registration, health information management or clerical work experience with emphasis on customer service
  • State of Texas Birth Registrar Certification (BRC), Acknowledgement of Paternity (AOP) certification and successful access to the TxEVER system required within 3 months of entry into this role
  • Must successfully pass the Spanish Language Oral Skills Assessment examination prior to employment
  • Must be able to work in a fast-paced, high volume department
  • Must have excellent oral and written communication skills, to include grammar, proofreading and accurate spelling due to filing legal documents with the State of Texas
  • Must be detail oriented, able to multitask, and have excellent organizational skills
  • Must be familiar with HIPAA privacy
  • Must be able to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus
  • Must be able to demonstrate a working knowledge of computers, word processing, office equipment and associated software
  • Must be bilingual (English & Spanish)
Responsibilities
  • Birth Registrar obtains necessary information from mothers and/or fathers for accurate completion of worksheets, consents and all appropriate forms used in the birth certification process.
  • Maintains all appropriate documents by scanning into database for future retrieval as necessary understanding these documents are our legal records.
  • Enters patient information into the State registry database (TxEVER), making changes as needed (proofreading) prior to certification to ensure that correct/accurate birth information is sent to the State.
  • Retrieves basic information from the medical records to satisfy the medical sections of the birth certificate record in TxEVER.
  • Completes all sections, as appropriate, of the birth certificate record in TxEVER.
  • Enters/Updates infant's legal name in the EMR post discharge timely.
  • Explains and informs eligible parents of Texas laws and regulations regarding the paternity process to include the Acknowledgment of Paternity (AOP) form, to ensure understanding and compliance.
  • Obtains completed ImmTrac Registration and Social Security consent from parent.
  • Meets all required deadlines, including submission of birth certificate information to the State within 5 days of birth.
  • Promotes a positive work environment and contributes to a dynamic team focused work unit that actively helps one another to achieve optimal departmental and organizational goals.
  • Adheres to department standards for productivity, timeliness, accuracy and quality.
  • Meets with auditors regularly according to State requirements to monitor compliance.
  • Completes annual training and recertification requirements timely.
  • Supports birth registration process while complying with patient confidentiality and HIPAA regulations.
