Requirements
  • A high school diploma or equivalent is required.
  • Demonstrated ability in customer service, patient intake, and scheduling is required.
  • A proven record of dealing with the public in a customer service role is required.
  • Familiarity with word processing, Microsoft Outlook, intranet navigation, and interpreting online queries is required; familiarity with GE Centricity Business, Cerner, PBAR, and scheduling systems is preferred.
  • Proficient English speaking, reading, and writing skills are required.
  • Knowledge and understanding of insurance plans and coverage types, including government health programs, is required.
  • Knowledge and ability to process new referrals in a timely manner is required.
  • Demonstrated ability and knowledge in patient scheduling is required.
  • The ability to work independently under supervision, take initiative, handle constant change, and accept responsibility is required.
  • The ability to work independently and in a team setting is required.
  • Fire Life Safety Training for Los Angeles City is required; if no card is available upon hire, it must be obtained within 30 days and maintained by renewal before expiration.
Responsibilities
  • Coordinate multiple appointments with multispecialty clinical services to support smooth outpatient flow and clinic operations.
  • Perform daily clinic preparation, customer service, phone answering, intake, message distribution, medical-record and imaging retrieval, procedure scheduling, encounter registration, copay collection, and referral management.
  • Process new referrals by obtaining outside medical records, entering demographic information, providing records for physician and multidisciplinary-team review, verifying insurance, and obtaining visit and procedure authorizations.
  • Schedule evaluations, clinic appointments, surgeries, laboratory work, diagnostic testing, and consultations while accommodating patient needs.
  • Review master schedules and anticipate activity-level requirements and changes to maintain operational flow and a positive patient experience.
  • Coordinate diagnostic testing, including sending letters of medical necessity.
  • Assist with clerical and scheduling needs, filing, and collecting supporting documentation for billing.
  • Provide phone coverage, distribute messages to medical personnel through text, voice, and email systems, respond to email, and retrieve and respond to voicemail within 24 hours per department protocol.
  • Greet patients and act as a point of contact for patients and caregivers regarding scheduling, paperwork, and follow-up appointments.
  • Complete financial risk assessments and assist patients and families with insurance benefits and alternative funding sources, referring complex issues to financial counselors or designated admitting representatives.
  • Prepare estimates of patient liabilities, including copayments, deductibles, coinsurance, deposits, and prior account balances.
  • Facilitate communication among patients, caregivers, physicians, nurses, laboratory staff, and other care-team members, and communicate changes in patient and case information.
  • Work with hospital personnel to resolve issues and accommodate patients.
  • Protect patient confidentiality in accordance with applicable policies.
  • Assist Support Coordinator I with complex customer-service issues and provide resolution.
  • Cover other staff members during sick time, vacation, or leave of absence.
  • Maintain communication with management and staff, stay current with changes in the USC healthcare system, and serve as the department liaison with hospital and physician staff.
  • Assist with onboarding and training new employees and physicians.
  • Assist the Clinic Manager with quality assurance, patient flow, data collection, projects, and reporting.
  • Audit, correct, and resubmit rejected charges and follow up as needed.
  • Perform other duties as assigned.
Desired Qualifications
  • A bachelor's degree in a related field is preferred.
  • Three to five years of administrative or customer-service experience in a medical office, preferably in an ambulatory-care environment, is preferred.
  • Knowledge of medical terminology is preferred.
  • Experience with insurance billing, admitting, or registration in a hospital or medical office is preferred.
  • Ability to speak Mandarin, Cantonese, or Spanish is preferred.
  • A Certified Medical Assistant certificate or equivalent is preferred.
  • A job-relevant billing and coding certificate is preferred.
