Responsibilities
  • Verify open seats are indicated properly in the seating chart, confirming availability for new hires and employees.
  • Provide awareness to Facilities Manager on needs for significantly more or less leased space.
  • Provide outstanding customer service while meeting the needs of our fellow employees and customers.
  • Greet guests and co-workers with a friendly attitude.
  • Go above and beyond for customer solutions.
  • Serve as the primary point of contact for facility related inquiries and issues including building maintenance requests, flooring, lighting, windows, electrical, HVAC, janitorial services, plumbing, replacement chairs/standing desks, etc.
  • Acts as Transportation Coordinator for Lynnwood/Bellevue locations.
  • Ensures employees have either an ORCA Card OR a Parking Pass.
  • Coordinates with Employee Relations when cards/passes are distributed/collected.
  • Maintain relationships with building vendors, schedule routine and as needed services to ensure product and quality and service standards are met, including: Talon-M, SRO, Puget Sound Beverage, Tassi Vending, Canteen, Office Depot Business, MBI, Janitorial Services.
  • Follow established procedures for mail distribution.
  • Collaborate with other departments as needed, including Health, Safety, and Security, PC Support, Employee Relations, etc.
  • Maintain an accurate inventory of facility-related equipment and supplies including: Paper, Toner, Office furniture (couches, tables, chairs), Office equipment (printers, computers, A/V, glass boards).
  • Act as an escalation point for facilities-related issues.
  • Support Facilities Manager with day-to-day operations of Lynnwood/Bellevue office with routine building checks, ensuring HVAC, lighting, flooring, plumbing, coffee/water, micro market, etc. are all operating efficiently.
  • Support Facilities Manager with employee seat assignments.
  • Ensure coffee supplies are delivered and stock replenishment.
  • Ensure coffee equipment is maintained as per service agreement and support any other repair & maintenance of the equipment as needed in between services.
  • Support and monitor day porter day to day services, validating quality and scope as per the agreement.
  • Schedule walkthroughs with the janitorial manager to point out deficiencies in areas serviced.
  • Facilitate communication between Expeditors and building property manager.
  • Liaison between employees and building engineers for facility needs.
  • Use of the Landlord service and maintenance portal to report deficiencies in the space and request service for common building functions, such as: HVAC, plumbing, lighting, electrical, flooring, windows, and fire protection.
  • Maintain agreed upon office supply stock and replenishment (paper, toner).
  • Support installation and continued supply of micro-market inventory.
  • Work with Corporate Employee Relations team as appropriate on accommodation requests.
  • Monitor facility-related requests by employees to improve their day-to-day work experience.
  • Support Expeditors ID badge needs (taking pictures for new and replacement badges).
  • Actively contributes to team discussions about ideas for process improvements, efficiency and growth based on own experiences.
  • Uses judgment to escalate issues when appropriate.
  • Meets Expeditors’ annual training requirements.
