Requirements
  • Working knowledge of office methods and procedures, including office etiquette, answering a multi-line phone, and data entry.
  • Working knowledge of spelling, punctuation, grammar, basic English, and basic arithmetic.
  • Working knowledge of office software systems, including Microsoft Suite, with the ability to learn agency-specific applications.
  • Skill in operating a personal computer, associated business and agency software, a calculator, and other office machines.
  • Ability to provide customer service to the public by assessing customer needs and meeting service quality standards.
  • Ability to communicate effectively orally and in writing, follow written and oral instructions, file accurately, research files, organize information, understand and communicate office policies, procedures, and services, multitask, keep records and logs, and interact tactfully and courteously with the public, customers, and co-workers.
  • High school diploma supplemented with related clerical or administrative experience, or an equivalent combination of training and experience providing the required knowledge, skills, and abilities.
  • Applicants may be subject to criminal history, Central Registry, DMV/driving record, fingerprinting, employment verification, reference, education, credit, and other background checks required by the hiring authority.

  • May be required to report for shelter duty during community disasters and emergencies.
Responsibilities
  • Answer phones, provide information, and refer callers to appropriate staff or community resources.
  • Greet visitors and customers, provide information, answer questions about agency operations, and make referrals to appropriate staff or community resources.
  • Post routine information and data to maintain agency records.
  • Set up, organize, and purge files and maintain filing systems.
  • Type correspondence, memoranda, reports, and forms from rough drafts, clear copies, notes, or recordings.
  • Log statistical or fiscal data in various formats and generate reports.
  • Collect and distribute broadcasts, mail, and faxes.
  • Research computer activity in mainframe and local computer applications.
  • Run mail using a mail processor.
  • Receive, sort, and distribute mail to the appropriate party.
  • Use computer and office equipment to input, retrieve, verify, scan, and research information.
