Facilities Specialist II

About the Role

The Facilities Specialist II is responsible for the safe and efficient functioning, maintenance, and operation of building, equipment, machinery, systems, and grounds keeping. This role will plan, coordinate, and is administratively and professionally responsible for the proper installation, operation, and maintenance of uninterrupted light, heat, power, water, and monitoring systems of all health system building and services. This role will ensure compliance with local, state, and federal regulations and regulatory agencies, efficiency of services and delivery of optimal customer service.  This role will also function as the office manager. Those responsibilities will include stocking supplies, managing access control, processing visitors, tidying conference rooms, ordering supplies, creating purchase orders for vendors, managing costs and expenses, handling mail and packages, and understanding processes and improvements to enhance the office experience for users. 

What the Candidate Will Do

• Audit and pay all invoices related to the Business Management and Administration of the Uber Freight Center of Excellence, as well as provide additional support for the organization through centralized payment of office supplies and express mail couriers 
• Create continuous improvement and creating scalability within systems, processes, and expense management.  Leverages LSS principles in improvement activities 
• Creates picture ID for employees, both new and replacement  
• Engaging with vendors in a professional and courteous manager, conduct RFP/RFI and evaluating RFP/RFI responses  
• Greet all callers in a professional and courteous manner ensuring that the initial impression is pleasant and in accord with our core values 
• Greet guests in a professional and courteous manner ensuring that the initial impression is pleasant and in accord with our core values.  Prepare and provide visitors guest badges 
• Ensure the quality of internal customer services offered, in addition to a maintaining acceptable response times  
• Assist with contracts with office equipment and concession vendors to ensure all equipment/machines are functioning properly 
• Assist with daily operations and management of the facilities, including maintenance, security, landlord relationships and emergency planning, etc.
• Assist with the office supply process including approving and/or placing orders, managing inventory and expense  
• Assist with proximity card process, insuring all employees have one active proximity card and that badges are deactivated immediately upon termination 
• Assist with the shipping and receiving for the Uber Freight Center of Excellence, including scheduling all special deliveries, including checks, as well as USPS, FedEx and UPS 
• Assist with environmental health and safety issues including evacuation drills
• Provide and support and planning of Employee Engagement Activities - picnics, luncheons, other, etc.  

Basic Qualifications

• High school diploma or GED equivalent 
• Minimum 3 years of related experience 

Preferred Qualifications

• Knowledge and Utilization of TMS - Working knowledge of the shipment execution and search functionality of the TMS. 
• Knowledge of Budgeting/Forecasting/Reporting Applications 
• Knowledge of Microsoft Tools and other applications. - Ability to leverage MS programs, including Word, Excel, Outlook, etc.
