Requirements
  • University degree and/or relevant post-secondary diploma/certification.
  • Minimum 1 to 3 years work experience in event coordination within a corporate setting.
  • Exceptional client service experience.
  • Aptitude to differentiate when to act independently or within a team.
  • Open-mindedness to collaboration within the team environment.
  • Proven ability to meet multiple and/or unexpected deadlines in a demanding environment.
  • Experience preparing event correspondence.
  • Ability to coordinate multiple tasks and work on more than one event at a time.
  • Excellent written and verbal communication skills.
  • Ability to maintain poise and professionalism under pressure.
  • Proficient in Word, Excel, and PowerPoint.
  • Meticulous attention to detail.
  • Familiarity with event support platforms and CRMs is desirable.
  • Strong time management skills.
Responsibilities
  • Support regional and national events as required in varying capacities.
  • Works closely with the event marketing team to develop event plans; and acts as the prime liaison to secure event contracts, secure staff passes, manage event logistics, etc.
  • Assists with the development, revision, and completion of event execution documents (e.g. production schedules, contact lists, load-in and load-out schedules) and prepare the production books for the team before each event.
  • Supports various facets of the event, which may include concept development and delivery, coordination of logistical tactics, execution, and post-event reconciliation.
  • Collaborates with other marketing team members to make sure that key PointClickCare channels and relevant external channels promote events before, during, and after they happen.
  • Assists with the production of marketing assets for each event, including booth design, signage, and collateral.
  • Develops and manages workback schedules for each event to ensure all timelines and event commitments are met.
  • Deliver rolling updates on the status of tasks during weekly team meetings.
  • Updates the event calendar on the company website and internal event team app.
  • Maintains an inventory of promotional products, suggests appropriate options based on price and audience, and ensures the timely purchase, shipping and storage of promotional items.
  • Creates support documents that will be used for both internal and external presentations (e.g. PowerPoint, Excel).
  • Support the Events Project Manager on event logistical tasks including but not limited to Workfront, Master Event Schedule, and WordPress.
  • Builds meaningful and effective relationships with internal and external stakeholders and always provides excellent customer service.
  • Critical thinker to describe what happened, see patterns, trends, find best solution, use evidence to conclude, use knowledge from other cases.
  • Role will include limited travel throughout the year.
