Requirements
  • Bachelor's degree and three years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level, OR high school graduation or GED, and seven years of clerical experience.
  • Small Purchase Order transaction experience at UT.
  • Strong organizational skills with the ability to manage multiple tasks and set priorities.
  • Proficiency in Microsoft Excel and Word, Adobe, and DocuSign.
  • Ability to interpret policies and implement procedures effectively.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills with a professional demeanor and commitment to customer service.
  • Ability to work independently and collaboratively while maintaining high accuracy and attention to detail.
  • Relevant education and experience may be substituted as appropriate.
Responsibilities
  • Assist with processing purchase requests for goods and services for small orders, including researching issues with outstanding orders, exchanges, and credits from vendors.
  • Verify vendor holds on state and federal systems.
  • Engage with university departments and vendors as needed.
  • Provide guidance and training as needed in areas of responsibility.
  • Manage the departmental purchasing mailbox and ensure timely responses.
  • Ensure processes align with university, state, and federal regulations, including record retention policies.
  • Maintain documentation and implement best practices.
  • Other duties as assigned, including acting as a backup to team members as directed by the supervisor.
  • Project tracking and management.
Desired Qualifications
  • Bachelor's degree in business, supply chain management, or a related field, or high school diploma/GED with at least 5 years of relevant purchase order processing experience.
  • Small Purchase Order transaction experience at UT.
