Responsibilities
  • Liaise between real estate agents, clients, attorneys, title companies, and mortgage brokers during real estate sales and manage the administrative tasks involved in closing sales.
  • Serve as the first point of contact for questions throughout the listing and closing processes, provide showing feedback, order brochures, ensure listing accuracy in Bright MLS and associated marketing, and understand listing agreements and contracts.
  • Create Expectations Meetings with agents and communicate updates about important dates, missing documents, calendar reminders, file compliance status, and issues.
  • Communicate with clients about each step of the listing and closing processes, send reminders, check in routinely, and notify clients about utility accounts to set up or cancel.
  • Establish and maintain relationships with lenders, inspectors, appraisers, and agents to support smooth closings and share relevant information.
  • Create timelines and follow up with individuals to ensure deadlines are met and contingencies are released.
  • Maintain accurate and compliant transaction files and create a digital house file for each transaction.
  • Coordinate the closing date, time, and location; notify all parties; and ensure the agent's closing file is complete, including documents requiring signatures, initials, or dates and the commission amount for the check.
  • Close out files after closing by changing the MLS status to closed, double-checking files, creating an electronic copy of the CD-ALTA, processing checks, and uploading settlement-related documents to Salesforce.
  • Process checks.
  • Protect confidential transaction information and share it only with involved parties.
Desired Qualifications
  • Real estate experience is a plus.
  • Knowledge of Salesforce is a plus.
