Requirements
  • A bachelor's degree or equivalent combination of education and experience.
  • Three years of experience in office administration.
Responsibilities
  • Provide high-level administrative support for the Veterinary Medical Teaching Hospital administrative office, including drafting and managing correspondence and communications, scheduling appointments, and managing calendars.
  • Provide administrative support for hospital initiatives.
  • Serve as backup administrative support to the Hospital Board of Directors.
  • Monitor office procedures and ensure adherence to office protocols.
  • Coordinate travel arrangements and prepare itineraries.
  • Plan and coordinate meetings, seminars, and other special events.
  • Make recommendations for process improvements or administrative changes.
  • Review and sign documents for the supervisor.
  • Attend meetings or committees on behalf of the supervisor as needed at the Veterinary Teaching Hospital.
  • Serve as a primary point of contact for the Veterinary Medical Teaching Hospital for departments.
  • Serve as a primary point of contact for Veterinary Medical Teaching Hospital leadership, centralized units, and University services to ensure the Associate Dean and Hospital Administrators receive needed support.
  • Serve as the primary point of contact for the Blinn Veterinary Technician Program.
  • Serve as the departmental parking representative.
  • Analyze incoming inquiries and provide proper instructions for resolution.
  • Perform special analyses and project summaries.
  • Prepare and review operational and special reports.
  • Assist in developing hospital-level guidelines and protocols.
  • Serve as the award coordinator for the Veterinary Medical Teaching Hospital.
  • Manage the administrative office to ensure effective telephone, email, and mail communication is sent and received internally and externally.
  • Oversee and manage the front desk and conference room areas of the Veterinary Medical Teaching Hospital Administration office.
  • Coordinate maintenance of office supplies and equipment.
  • Supervise, train, and evaluate the work of student workers.
Desired Qualifications
  • Experience working at an institute of higher education or in a veterinary or medical environment.
  • Knowledge of veterinary terminology.
  • Proficiency with word processing, spreadsheet, database, and presentation software.
  • Good management skills.
  • Strong communication skills.
