Requirements
  • High school, vocational, or technical business school studies in secretarial science; some undergraduate-level coursework is beneficial.
  • Typically, six or more years of related administrative assistant experience.
  • Knowledge of company policies and organizational structure.
  • Understanding of office practices and procedures.
  • Ability to make decisions and recommend solutions to work processing and office management problems.
  • Ability to interact with leaders, associates, and external contacts at all levels.
  • Ability to proofread own work and the work of others for content and format accuracy.
  • Intermediate mathematical calculation skills.
  • Ability to build effective business relationships.
  • Occasional travel and non-standard, extended, or overtime work may be required based on workflow needs.
Responsibilities
  • Perform a wide variety of confidential, detailed, and complex administrative functions under direct supervision.
  • Coordinate meetings and make business and travel arrangement decisions for leaders and their teams.
  • Plan, organize, and schedule independent work.
  • Focus on daily and longer-range calendars for multiple leaders and teams, and manage a leader's personal calendar as directed.
  • Coordinate travel plans for leaders and teams and make mid-trip changes when required.
  • Compile information for reports and presentations.
  • Screen communications for action items and due dates, bring key items to the leader's attention, initiate follow-ups and prioritization, and draft responses for executive review.
  • Provide assistance with office procedures or processes that improve team productivity and efficiency.
  • Monitor departmental expenses and process expense reports in a timely manner.
  • Manage the budget for meeting planning and conduct quality checks on invoices and accounts payable.
  • Input travel and other expenses for payment, and review and pass them to the office budget coordinator.
  • Keep current on Nationwide procedure changes, Human Resources policy changes, and business-environment changes that affect department-level plans.
  • Participate in special projects as assigned.
  • Perform other responsibilities as assigned.
Desired Qualifications
  • Administrative professional certifications such as Certified Administrative Professional or Certified World Class Assistant.
  • Nationwide experience.
