Requirements

Responsibilities
  • Support the department and department leadership with daily clerical tasks.
  • Collect, review, and analyze complex or confidential data and prepare reports, charts, budgets, and presentation materials.
  • Respond to or route non-routine, priority, or confidential inquiries from external or internal sources on behalf of department leadership.
  • Plan meetings and take detailed minutes as needed.
  • Answer phone calls, provide information to callers, and connect callers with appropriate staff.
  • Schedule appointments and update calendars.
  • Make travel arrangements and reservations for department leadership and staff as needed.
  • Compose and type correspondence, create spreadsheets, and create presentations.
  • Greet and provide general support to visitors.
  • Develop and maintain the department filing system.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Provide support to assigned clinical specialties and providers to coordinate patient care.
  • Address and document patient inquiries and communications by answering phone calls, responding to emails, monitoring electronic medical record in-basket messages and tasks, and escalating or assigning requests as needed.
  • Provide coordination and support to clinical practices, providers, clinical support staff, and patients.
  • Assess patient volumes and clinic flow, improve the distribution of patient assignments, and escalate patient scheduling issues to the clinical logistics team.
  • Assist physicians with clinical activities, resolve delays, and guide patients through each step of their appointments.
  • Review provider schedules to ensure appropriate scheduling and completion of pre-appointment requirements, including referrals, insurance authorizations, and test orders.
  • Schedule patients as needed and follow up with patients who cancel, reschedule, or do not attend appointments.
  • Determine whether patients need urgent care and expedite appointment scheduling with a provider or fellow.
  • Answer patient inquiries regarding medications and prescription refills, report side effects to providers, and apply judgment regarding high-risk medications.
  • Manage internal and external referrals and arrange appointments with medical specialists.
  • Research and confirm outside physician contact information and request updates to the Health System provider directory.
  • Assist clinical research coordinators as needed for study patients.
  • Provide ancillary, clerical, or medical-related support to providers, including patient care, clinical activities, student services, reporting, statistics, and other business needs.
  • Assign Fellows to individual clinics and work with Fellows to ensure patient coverage when faculty are not in clinic.
  • Prepare electronic medical record correspondence for fax transmission or mailing and scan documents into the electronic medical record with proper labels daily.
  • Assist clinical support staff in updating care teams in the electronic medical record.
  • Promote patient use and understanding of the electronic medical record patient portal for communications, test results, and pre-appointment documentation.
