Requirements
  • Successful completion of coursework in legal terminology or legal office procedures from an accredited school and one year of legal clerical experience involving the preparation and processing of legal documents or providing legal clerical support to an attorney.
  • An associate degree or a certificate of completion from an accredited college or technical school as a legal secretary may substitute for one year of experience.
  • One year with Pima County in a Legal Processing Support or closely related position, as determined by the department head at the time of recruitment.
  • Relevant experience and/or education from an accredited college or university may be substituted.
  • A valid driver license is required at the time of application, and a valid Arizona driver license is required at the time of appointment.
  • The successful applicant must pass a 39-month Department of Transportation Motor Vehicle Record review and Fleet Services review of the driving record.
  • The successful applicant must complete a pre-employment background check, including verification of work history, education, and criminal conviction history.
  • Some positions may require satisfactory completion of a personal background investigation by court or law enforcement agencies.
  • The position requires a post-offer physical examination and/or drug screen.
Responsibilities
  • Gather information, prepare legal documents, complete legal forms and correspondence, and prepare briefs, opinions, complaints, warrants, affidavits, and depositions while monitoring legal requirements and deadlines.
  • Review new cases and arrange interviews between clients, law enforcement personnel, and attorneys.
  • Review received materials, set up files, and initiate paperwork.
  • Transcribe electronic dictation and prepare legal reports, correspondence, petitions, jury instructions, and disclosures.
  • Prioritize trials and establish and maintain calendars for hearings, trials, depositions, and response times to pending litigation.
  • Compile statistical data concerning unit operations and prepare periodic and special reports at the direction of an attorney or paralegal.
  • Prepare motions for continuance, suspension, or dismissal through the court system.
  • Coordinate work activities with trial teams and divisions.
  • Act as liaison for an attorney or paralegal regarding case preparation and discovery, and prepare required legal documents.
  • Communicate with clients or witnesses to obtain or verify legal information for cases.
  • Word-process technical and confidential documents, contracts, ordinances, case dispositions, and privileged attorney-client information.
  • Review, sort, and proofread legal documents for an attorney or paralegal.
  • File and index legal documents produced and received in case files.
  • Edit legal documents for legal or technical terminology, grammar, punctuation, and spelling.
  • Operate office equipment.
