Requirements
  • A minimum of five years of administrative or customer support experience.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • Professional written and verbal communication skills.
  • Discretion and sound judgment.
  • Ability to work independently and escalate issues appropriately.
  • Stakeholder coordination.
  • Event and meeting coordination experience.
  • Completion of internal financial, procurement, or research compliance training is required.
Responsibilities
  • Provide general administrative and operational support to the academic unit, faculty, Department Chair, and department leaders.
  • Coordinate administrative activities for an administrative grouping and independently anticipate and resolve problems.
  • Manage office administration, including departmental records, faculty leave requests, committees, supplies, expenses, mail, space management, room scheduling, systems management, and front office coverage as applicable.
  • Assist with unit personnel management and onboarding, and may train, assign, and direct work for support staff, students, LHTs, and temporary workers.
  • Support departmental activities such as coordinating research appointments, hosting seminars and visitors, managing the course catalog, and directing faculty to appropriate central services.
  • Serve as a departmental liaison to the centralized communications team by gathering and coordinating unit-specific content, updates, calendars, contact information, and related materials.
  • Coordinate and support department-wide events and meetings.
  • Serve as the lead administrator for grouping-level projects or programs.
  • Support the Chair and other department leaders with department- and program-wide initiatives, including scheduling meetings or events and coordinating logistics.
  • Draft and distribute internal and external reports and communications on behalf of the Chair.
  • Coordinate and lead preparations for department faculty meetings, including drafting agendas and minutes.
