Responsibilities
  • Vendor onboarding and contract management: Work closely with production, legal, and finance to facilitate efficient review and processing of contracts and request action memos, purchase orders, and NDAs as needed.
  • Assist with building and managing call sheets, shot lists, asset trackers, production schedules, and project folders.
  • Assist producers with research and development of creative pitch materials.
  • Assist with scheduling project reviews, serving as a key communicator for cross-departmental teams.
  • Contribute to expanding our production network through vendor research and outreach and vetting.
  • Collaborate with producers to update project tasks and milestones in our project management system Wrike.
  • Manage product and asset requests: Request product samples, still assets, game capture, and animation clips from various departments to support productions, manage asset tracking and product returns.
  • Obtain and Track Production Costs and Assets: Collect and manage all essential production documents, including invoices, appearance releases, location agreements, asset clearances, and talent releases. Ensure proper closure and archiving of production folders upon project completion.
  • Support the studio manager in coordinating studio productions by booking spaces, hiring production assistants, and communicating production details effectively to facilities and security teams.
  • On set support: Support producers with talent and vendor communication, interview and script materials, and green room, equipment, and studio prep.
  • Manage catering requests, craft services, and production supplies.
  • Provide administrative office support, including scheduling shipments and ordering supplies.
