Requirements
  • A high school diploma or equivalent education is required, including a GED, homeschool equivalency, or partial or full completion of post-secondary education.
  • Three years of experience in a healthcare setting, call center, or customer service operations is required, unless the candidate successfully completes the one-year Houston Methodist Call Center Apprenticeship.
  • The ability to speak, read, and write English sufficiently to perform essential job functions is required.
  • Proficiency in medical terminology, including diagnoses, operative procedures, and Current Procedural Terminology codes, is required.
  • Working knowledge of a personal computer environment using Windows, word processing, and basic Excel is required, along with the ability to enter data by keyboard throughout the work schedule.
  • The ability to navigate several registration-related applications and websites simultaneously is required.
  • Knowledge of managed care and the ability to differentiate insurance plans such as preferred provider organization, point-of-service, and health maintenance organization plans is required.
  • The ability to communicate effectively with patients, physicians, family members, and coworkers using a customer-service focus is required.
  • Excellent spelling and grammar skills are required.
  • The ability to use critical thinking, independent judgment, telephone techniques, interpersonal skills, and healthcare knowledge is required.
  • Knowledge of scheduling, registration, insurance verification, eligibility procedures, financial clearance, electronic medical record workflows, privacy, and HIPAA requirements is required.
Responsibilities
  • Schedule patient appointments and register patients for multiple Houston Methodist services.
  • Verify patient eligibility and benefits and complete financial clearance before scheduled visits.
  • Collect and enter accurate patient demographic, insurance, guarantor, and clinical information.
  • Triage Patient Access Center calls to appropriate areas using management-approved guidelines and scripts.
  • Provide patients with appointment preparation information and encourage enrollment in the Patient Portal, including providing PIN numbers while complying with HIPAA regulations.
  • Use computerized scheduling and registration systems, verification systems, online applications, and multiple software applications to schedule appointments.
  • Coordinate scheduling requests, including emergency appointments requested by physician offices for the same day or within 24 hours when needed.
  • Answer incoming calls from patients, physician offices, and hospital departments.
  • Act as a liaison among patients, physicians, clinical staff, hospital personnel, and service areas to communicate actions and resolve issues.
  • Maintain patient confidentiality and follow telephone, scheduling, registration, electronic medical record, privacy, and HIPAA procedures.
  • Collect and compile insurance documentation, patient identification information, and other documents needed to support scheduling and financial processes.
  • Document potential issues that could cause service delays, cancellations, or reimbursement denials because of incomplete financial clearance.
  • Meet department productivity and scheduling goals, including abandonment-rate and productivity-per-hour targets.
  • Work with the revenue cycle team and other departments to ensure registration information is complete and accurate.
  • Assist management with observations, notifications of improvement opportunities, audits, and quality reviews of scheduling and registration.
  • Work with the manager to improve areas of concern, apply new learning, and share knowledge with others.
  • Maintain communication with patients, physicians, clinic staff, hospital departments, and other involved parties regarding actions taken and issue resolution.
  • Travel within the Houston metropolitan area when required.

  • Knowledge and experience in a healthcare setting, including a strong understanding of medical terminology, are preferred.
