Requirements
  • A high school diploma or GED is required.

Responsibilities
  • Oversee and coordinate all hospital Continuing Medical Education programming, including planning, compliance management, and cross-functional collaboration across undergraduate and graduate medical education domains.
  • Provide high-level operational support to the Medical Education Committee Chair(s), including innovation and change coordination, stakeholder coordination, resource allocation, and process improvement.
  • Provide administrative support to medical students, house staff, and faculty physicians.
  • Ensure that all Continuing Medical Education activities comply with the accreditation requirements, standards, and regulations of the Massachusetts Medical Society, Accreditation Council for Continuing Medical Education, and American Medical Association.
  • Coordinate all aspects of Continuing Medical Education accreditation, including detailed recordkeeping and timely submission of annual report information in the Accreditation Council for Continuing Medical Education’s Program and Activity Reporting System.
  • Arrange Continuing Medical Education conference logistics and maintain process documentation.
  • Assemble and distribute Continuing Medical Education materials to learners.
  • Maintain accurate participation transcripts and other required documentation for all hospital Continuing Medical Education activities in accordance with accreditation guidelines.
  • Track attendance and participation, distribute and collect evaluation feedback, and acknowledge faculty and planning committee disclosures and commercial support for each activity.
  • Design and distribute promotional and outreach announcements for each activity, including program objectives and proper accreditation and credit designation statements.
  • Oversee weekly Medical Grand Rounds coordination, including managing email lists and conference calendars with the Department of Medicine Chair and communicating outreach to relevant lists.
  • Maintain Department of Medicine educational resources on the hospital intranet and internal and staff-facing SharePoint sites.
  • Update the Medical Education Committee with analysis of the overall Continuing Medical Education program, including summary data from activity evaluations, activity files, and accreditation self-study reports.
  • Inform the committee of upcoming accreditation survey dates and organize site surveys and follow-up.
  • Coordinate the work of the Medical Education Committee by scheduling meetings, generating agendas, materials, and minutes, following up on action items, identifying processes, and drafting reports for the Chair(s).
  • Monitor education funds in collaboration with the Medical Education Committee and Department of Medicine Chairs.
  • Create requisitions and purchase orders for expenses associated with the Department of Medical Education cost center.
  • Manage the Schwartz Rounds panel discussion series in partnership with the Director of Faculty Development, including planning committee meetings and related documentation.
  • Serve as a member of the Schwartz Rounds Planning Committee.
  • Support the Fellowship Director in planning and coordinating the Medical Education Fellowship, including generating the syllabus, coordinating and scheduling speakers and conference rooms or webinars, ordering and distributing materials, maintaining the program SharePoint site, managing required readings and resources, and planning special events including graduation.
  • Support the Internal Medicine Residency Program Director and Administrator with timely completion of Workday expense reports and purchasing.
  • Create requisitions and purchase orders for Residency and Education expenses.
  • Submit annual rosters of required resident and chief profiles to the Massachusetts Medical Society Group Enrollment Portal.
  • Support the Internal Medicine Residency Assistant Program Director for Primary Care in maintaining primary care resident and preceptor schedules, the annual primary care curriculum syllabus, the conference schedule, and resident primary care continuity patient panel data and records.
  • Manage administrative tasks related to primary care clinic onboarding, postgraduate year progression, and graduate off-boarding for resident providers, including coordinating Epic schedule templates, updating and communicating cohort assignments, and maintaining email distribution lists and shared drive access.
  • Serve on the Program Evaluation Committee, coordinate its schedule and agenda, and compile minutes.
  • Serve on relevant hospital and system committees to ensure education representation.
  • Work on special projects as needed, including centralizing and maintaining SharePoint files, providing Workday expertise and support, event planning, and administrative backup for other team members.

Beth Israel Lahey Health rolls out Heidi's AI scribing to all physicians after 90% report better patient presence

Beth Israel Lahey Health is rolling out Heidi's ambient AI scribing tool to all its physicians following a successful trial across its facilities. The health system, which serves over 6,000 providers across 14 hospitals and 175 primary care practices, prioritises addressing physician burnout, with nearly half of US physicians reporting burnout. During a six-month trial offering Heidi to 1,000 providers, the majority adopted the technology. Survey results showed 89% were satisfied with note quality, 90% felt more present with patients, 74% reduced after-hours work time, and 82% experienced reduced cognitive load during visits. The implementation demonstrates how ambient AI can deliver immediate relief to physicians whilst benefiting patients and the healthcare system. Heidi supports over 2 million consultations weekly globally and has raised $96.6 million from investors including Point72 Private Investments and Blackbird.
